Description

We are seeking a detail-oriented and customer-focused Sales Administrator to join our team in the car rental industry. This role is specifically focused on generating, managing, and following up on sales leads for long-term vehicle rentals, including corporate and individual clients. The ideal candidate will possess strong communication skills, professionalism over the phone, and excellent organizational abilities. Experience in a sales support or administrative role is highly desirable.

Key Responsibilities:

  • Handle incoming long-term rental inquiries via phone, email, and online platforms.
  • Make outbound calls to prospective clients and follow up on sales leads.
  • Prepare and send rental quotations, contracts, and proposals.
  • Coordinate with the sales and operations team to ensure vehicle availability and timely delivery.
  • Maintain and update customer records and leads.
  • Prepare weekly sales reports and performance summaries for management.
  • Ensure accurate documentation and compliance with company policies and rental regulations.
  • Provide excellent customer service and represent the company in a professional manner at all times.
  • Support the sales manager in administrative tasks including data entry, document preparation, and appointment scheduling.

Requirements

  

  • Proven experience in sales administration, customer service, or a related field (car rental industry experience is a plus).
  • Excellent communication skills, both verbal and written.
  • Comfortable and professional speaking on the phone to both corporate and individual clients.
  • Strong computer literacy including Microsoft Office (Word, Excel, Outlook), Google Workspace, and CRM systems.
  • Highly organized, with attention to detail and the ability to manage multiple tasks simultaneously.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Familiarity with vehicle types, specifications, and rental terms is an asset.
  • Strong problem-solving and time-management skills.
  • High school diploma or  equivalent required.
  • Ability to work independently with minimal supervision.
  • Valid driver’s license with clean driving record (no more than 2 incidents/accidents in last 3 years).
  • Must be 18 years of age and legally authorized to work in the United States.
  • Hiring is contingent on passing  a complete background check and drug screen.
