Description

The Court Clerk/Deputy Court Clerk provides comprehensive administrative support to judicial officers, court staff, and the public. This role is responsible for the accurate preparation, processing, and maintenance of legal documents and case files in accordance with established court procedures and legal requirements. Key duties include managing dockets, scheduling hearings, issuing summonses and subpoenas, and acting as a liaison between the court and external parties, including attorneys and law enforcement.


DUTIES/RESPONSIBILITIES:

  • Process and file legal documents, case files, and court records.
  • Manage and maintain the court's calendar and docket, scheduling hearings, trials, and meetings.
  • Serve as a liaison between the court and external parties, including the public, attorneys, and law enforcement agencies.
  • Prepare and issue court orders, summonses, subpoenas, and warrants.
  • Collect and process fees, fines, and court costs, maintaining accurate financial records.
  • Attend court sessions and record proceedings, including motions and judgments.
  • Assist the judge during court hearings by managing exhibits and documents.
  • Respond to inquiries from the public and legal professionals regarding court procedures and case status.
  • Swear in witnesses and interpret legal documents for parties involved in a case.
  • Prepare and distribute transcripts and certified copies of legal documents upon request.
  • Maintain the confidentiality of all court proceedings and sensitive information.
  • Ensure all court operations comply with local, state, and federal laws and regulations.
  • Prepare reports and statistical data on court activities and case outcomes.
  • Operate and maintain court technology, including case management systems and audio recording equipment.
  • Perform other duties as assigned.

Requirements

  • Strong organizational skills for managing a high volume of documents, dockets, and files.
  • Excellent attention to detail for accurate preparation and processing of legal documents.
  • Knowledge of legal terminology and procedures.
  • Professionalism and discretion for handling confidential and sensitive information.
  • Excellent communication skills to interact with diverse individuals.
  • Proficiency in computer skills, including case management software and standard office applications.
  • Customer service skills for responding to inquiries from the public and legal professionals.
  • Problem-solving abilities to address issues efficiently.
  • The ability to multitask and manage multiple responsibilities effectively under pressure.
  • A strong sense of ethics and good judgment.

EDUCATION & EXPERIENCE:

  • High school diploma or equivalent is required, an associate or bachelor’s degree in legal studies, public administration, or a related field preferred.
  • Two or more years of experience in a court, legal, or administrative environment required.
  • Experience with case management software and court operations preferred.

PHYSICAL REQUIREMENTS:

  • The ability to sit for extended periods of time.
  • The ability to stand and walk or otherwise move about court facilities.
  • The ability to lift and carry up to 25 pounds, which may include case files and office supplies.
  • Manual dexterity and eye-hand coordination to use a computer keyboard and other office equipment.
  • Corrected vision and hearing to normal range to perform tasks and communicate effectively.

CONDITIONS OF EMPLOYMENT:

  • Successful completion of applicable tribal drug test.
  • Successful completion of applicable tribal background check.
  • Must pass background investigation for suitability of character identified in accordance with the Indian Child Protection and Family Violence Prevention Act.
  • Possess and maintain a valid driver's license with no serious violations.
