Reports to: Director of Finance 

Office Location: 224 W Hill St, Ste 410, Chicago IL; required in-office minimum of 3 days per week (hybrid work policy subject to change)

Who We Are Looking For:

The Staff Accountant supports NAMI Chicago’s mission by recording various transactions in the general ledger, creating invoices and reports, and supporting various other accounting procedures. Reporting to the Director of Finance, the Staff Accountant is detail-oriented and has strong time management skills. In addition, they possess at least a bachelor’s degree in accounting and/or non-profit and government contract experience.  


Essential Functions & Responsibilities: 

General 

  • Daily bookkeeping using non-profit fund accounting allocations in Quickbooks Online 
  • Monthly recording and allocation of credit card transactions 
  • Preparation of government grant monthly invoicing 
  • Review and distribution of employee expense reimbursements using Ramp expense management 
  • Assist in preparation of audit schedules for annual financial audit 
  • Monthly reconciliation of donor contributions with the Development/fundraising team 
  • Monitor and maintain operating cash flow 
  • Creates invoices and records revenue using non-profit best practices 
  • Additional bookkeeping functions and other projects as needed 

Government Grants Invoice Preparation 

  • Manage day-to-day fund accounting processes including the creation and submission of grant and contract invoices in a timely and accurate matter 
  • Responsible for ensuring the voucher process follows all agency and government policies and procedures 
  • Maintain audit ready invoices files and related supporting documents meeting all accounting government standards and requirements 
  • Coordinate with other members of the Finance Department and program staff to ensure the proper coordination of fee-for service billing and that all required documentation is assembled and submitted with grant invoices 
  • Liase with funders 
  • Assist with audits and monitoring reviews, as needed 
  • Assist in the preparation of grant and contract budgets, as needed 
  • Manage financial and compliance inputs in government funder portals 
  • Other duties as assigned 
Requirements

Essential Knowledge, Skills and Abilities: 

  • Knowledge & experience in non-profit accounting including government grants and contracts 
  • Familiarity with CFR 200 Uniform Guidance 
  • Planning & Organizing – ability to track multiple budgets and complex contracts 
  • Interpersonal & Communications – ability to communicate with supervisor(s) and peers to ensure proper accounting management 
  • Integrity – analyzes situations and challenges to reliably make sound decisions 
  • Time Management – ability to prioritize tasks, manage time and complete projects in a fast-paced environment 

Qualifications & Requirements: 

  • Education/Experience: Bachelor's Degree in Accounting and/or at least 3 years experience in non-profit accounting 
  • Required Computer Skills: Advanced proficiency in QuickBooks Online (QBO) and Microsoft Excel required 
  • Additional Computer Skills: Proficiency Microsoft Office Suite, Ramp expense management or similar, Cost Allocation method of accounting

Salary Range: $65,000 - $75,000 per year
