Job Summary


The Equipment Sales Coordinator is essential to the success of the sales team, overseeing the administrative and logistical components of the sales process to ensure seamless operations and positive customer experience. This is an in office position.


Essential Functions

  • Liaising professionally with sales reps, vendors, and customers.
  • Recording and managing sales transactions within 24–48 hours.
  • Confirming customer-approved orders and coordinating service delivery.
  • Utilizing company systems to process requests and maintain accurate records.
  • Communicating updates, issues, and training needs to management.
  • Managing equipment sales documentation, invoicing, purchase orders, and inventory      entries.
  • Coordinating service documentation across departments (PMs, warranty, training, parts).
  • Tracking open transactions for budget and status reporting.
  • Supporting marketing efforts, including event planning and advertising.
  • Providing administrative support to the Asset Manager, sales team, and VP.
  • Handling equipment orders, purchase tracking, and financing documentation.
  • Maintaining digital filing systems and participating in cross-training.

Requirements

  • Requires PC skills and knowledge of the Microsoft Windows environment and must possess a general understanding  of office operations and equipment, including but not limited to personal computers, tablets, cellular phones, photocopiers/scanners, and online phone system.
  • Candidates should demonstrate a fundamental understanding of finance and accounting principles and terminology
  • Must have practical communication skills (written and verbal) and be able to communicate with technicians, vendors, sales team members & customers using the Company’s communications systems
  • Must live within an acceptable distance from the reporting location.
  • Must possess the ability to prioritize and complete multiple tasks in a fast-paced environment.
  • Proven experience in sales coordination, administrative support, or operations.
  • Strong understanding of sales processes and documentation standards.
  • Familiarity with equipment sales, service scheduling, and customer support.
  • Excellent written and verbal communication.
  • Strong organizational and time management abilities.
  • Proficiency in CRM and ERP systems (e.g., Softbase or similar).
  • Attention to detail and accuracy in data entry and recordkeeping.
  • Ability to manage confidential information discreetly.
  • Collaborative mindset with cross-functional coordination skills.
  • Adaptability to support marketing and administrative initiatives.

Work Environment

The  work environment characteristics described here are representative of  those an employee encounters while performing the essential functions of  this job. The work is performed in various locations, including  warehouses, distribution centers, manufacturing plants, refineries and  hospital settings. Employees may work with co-workers’ side-by-side with  a moderate level of activity being performed. Exposure to high voltage  AC/DC power is very common in many work environments. The noise level in  the work environment is moderate to high.

The actual compensation  offered to a candidate will be dependent upon several factors, including  but not limited to experience, qualifications, and geographic location.  Employees may be eligible for additional incentive pay.
