Position Summary 

The Program & Operations Specialist plays a critical role in ensuring the smooth execution of CPI’s programs, system administration, and stakeholder engagement. This role blends operational excellence with the ability to work independently, manage multiple projects, and exercise sound judgment in engaging with internal and external stakeholders. 

 

The Specialist will manage CPI’s learning management system (LMS), track and analyze program data, develop materials and presentations, support stakeholder communications, coordinate meetings and projects, and provide administrative and budget support. This role is ideal for someone who is detail-oriented, highly organized, and eager to contribute to the growth of a dynamic nonprofit advancing America’s clean energy workforce. 

 

 

Essential Functions/Major Responsibilities

Program & Operations Support (50%) 

  • Facilitate and maintain CPI’s learning management system (LMS), monitoring user progress and ensuring accessibility, usability, and continuous improvement. 
  • Manage CPI’s job board platform, monitoring activity and revenue, troubleshooting technical issues, and analyzing usage data to recommend improvements. 
  • Lead the development of high-quality materials (e.g. PowerPoint presentations, marketing 1-pagers, reports, memos) for internal and external audiences. 
  • Track and analyze program data, prepare summaries, dashboards, and recommendations to inform strategy. 
  • Support grant and funding activities, including data tracking, reporting, and documentation. 
  • Provide operational support for CPI programs, including scheduling, task management, action item tracking/follow-up, and coordination with internal ACP teams. 

 

Stakeholder Engagement & Communications (30%) 

  • Serve as a trusted point of contact for partners, members, and external stakeholders, ensuring timely, professional communication. 
  • Draft and edit stakeholder-facing communications, including emails, meeting notes, and follow-up summaries. 
  • Support coordination of board meetings, advisory councils, and working groups, ensuring agendas, logistics, and follow-up items are well managed. 
  • Represent CPI in small-group settings and industry working groups as needed. 

 

Administration & Finance (20%) 

  • Track budgets, expenses, and invoices in collaboration with ACP’s finance team. 
  • Support project planning and execution for CPI meetings, workshops, and conferences. 
  • Provide general administrative support to ensure smooth day-to-day operations of CPI, including managing the calendars of the vice president and executive director. 

 

Education, Experience & Skills 

  • 2+ years of professional experience in nonprofit, association, or program/operations roles (clean energy or workforce development experience a plus). 
  • Bachelor’s degree or equivalent work experience required. 
  • Strong organizational skills with proven ability to manage multiple priorities and meet deadlines. 
  • Detail-oriented with a track record of accuracy and thoroughness in work. 
  • Strong writing and communication skills; ability to synthesize information clearly for diverse audiences. 
  • Proficiency in Microsoft Office Suite; familiarity with LMS platforms preferred. 
  • Sound judgment in handling sensitive information and engaging with external stakeholders. 
  • Analytical ability to track, evaluate, and report on data to inform decisions. 
  • Adept working independently while knowing when to seek guidance. 
  • Strong customer service orientation, demonstrated through perspective-taking and the ability to design tools, resources, and work products that meet the needs of diverse audiences (e.g. employers, educators, partners, and jobseekers). 
  • Learner’s mindset with openness to feedback, curiosity, and eagerness to continuously develop knowledge, skills, and effectiveness in a fast-paced, evolving environment. 

 

Job Conditions 

We are a fast-paced, high-energy organization with a very ambitious agenda and a staff that is highly motivated. This position may experience high-level work demands and independent decision-making under tight timelines. Regular travel across the country for meetings or events may be required. Applicants must be currently authorized to work in the United States on a full-time basis. ACP will not sponsor applicants for work visas. 

 

We reasonably believe that the base salary range for this position is $65,000 – 80,000. At ACP, compensation decisions consider skills, experience, training, education, and organizational needs.
