Structure
The Associate Director of Philanthropic Stewardship Data is an exempt (salaried) position employed by the University of Cincinnati Foundation and reports to the Executive Director of Gift Administration & Philanthropic Stewardship Data.
Focus
This Associate Director of Philanthropic Stewardship Data is responsible for overseeing the full lifecycle of donor fund reporting, from data collection and financial review to narrative development and final distribution. This role involves extensive collaboration with internal stakeholders to track fund usage and generate quarterly and annual reports.
Specific Duties
- Execute the development and timely distribution of donor fund reports for UCF
- Review A223s and maintain database for tracking donor fund report requirements.
- Provide quarterly expenditure reports to deans, business officers, donor stewardship and development officers to ensure funds are utilized appropriately.
- Work throughout the year to obtain appropriate and accurate fund usage information from college/unit business managers, faculty, or staff as needed.
- Serve as liaison between UC/UCF Business Office staff and college/unit officers for concerns with donor fund reports
- Train all partners- unit business officers, UCF unit coordinators, etc. on timeline, process and technology to ensure timely/correct collection of fund usage information.
- Work with college/unit business managers and development staff on special projects when funds are not being utilized appropriately.
- Secure, train, and manage all aspects of Freelance writer to develop fund usage statement narratives, including all aspects of project management and budget.
- Serve as primary liaison to internal/external constituents for fund reporting.
- Collaborate with Strategic Communications and assist with information collection for specialty reports throughout the year.
- Provide internal staff with balance, usage and scholarship recipients information as needed.
- Collaborate with UCF finance throughout the year with fund issues, especially during the DFR reporting cycle.
- Serve as primary contact to donors for questions regarding donor fund reports.
- Work closely with Corporate and Foundation Relations teams to proactively provide reporting content for regularly recurring required reports.
- Maintain stewardship records for all Donor Fund Reports.
- Regularly update recipient information in CRM to ensure correctness of reporting each year.
- Keep records of those funds and donors receiving Impact reports from Strategic Communications team.
- Ensure all donor fund reports are attached to fund purpose in Papersave.
- Work with Strategic Communications team to ensure all Impact reports are attached in Papersave upon completion.
- Partner closely with the Director of Donor Fund Stewardship to deliver a seamless and unified donor experience.
- Collaborate with Senior Director of Stewardship to ensure donor fund reports are part of the strategic stewardship provided to this specialized group of donors.
- Serve as team member of overall Philanthropic Stewardship Data Team.
- Be knowledgeable of the donor acknowledgement process for the UC Foundation & UC Health and be able to assist with presidential acknowledgements and tribute communications as needed.
- Be knowledgeable of the gift agreement process for the UC Foundation and be able to assist with agreements during peak times.
- Other duties, as assigned.
Requirements
- Bachelor’s degree with 3-5 years of relevant experience, or advanced degree with 2-3 years of experience
- Strong organizational skills and attention to detail; ability to prioritize effectively to meet multiple competing deadlines
- Ability to work with donors and confidential information
- Strong oral and written communication skills
- Ability to work independently
- Proficient in Microsoft Word and Excel; ability to learn new computer programs and database management
What We Offer
The anticipated starting salary range for the Associate Director of Philanthropic Stewardship Data role is $60,000 to $70,000 annually. When determining final offer amount the UC Foundation considers factors such as (but not limited to) scope and responsibilities of the position, candidate’s work experience, education/training, key skills, internal peer equity, external market data, as well as, market and business considerations when making compensation decisions.
