Our Mortgage Loan Assistants are responsible for performing a variety of duties to support the mortgage loan origination and general underwriting function; coordinating work within the department as well as with other departments; reporting pertinent information to the immediate supervisor; responding to inquiries or requests for information; and acting as a support liaison between the MLO’s and the loan processing. Additionally, they work with Realtors, Settlement Agents, and Borrowers as it relates to supporting the required functions on behalf of the MLO’s existing pipeline.
Essential Duties:
- Performs a variety of duties to support the mortgage loan origination function as follows:
- Assists with all aspects of secondary market, processing tasks, and loan origination, including compliance and satisfaction of but not limited to obtaining required information, compiles data, to support the completion of application process as may be directed in absence of the Mortgage Loan Originator.
- As necessary to achieve efficiencies and avoid customer service lapses; attend real estate closings, assist in clearing pre and post closing conditions, process pre-approvals, and update borrower data with all Loan Operating Systems.
- Adheres to processing instructions per secondary market requirements and effectively communicates with all staff in loan processing. In absence of the Mortgage Loan Originator, act as a liaison between Secondary Investors and Mortgage Loan Originators to move the mortgage pipeline through the loan processes to allow efficiencies and superior customer service.
- Utilizes the existing mortgage software to control the timely processing of each individual application. Support and assist Mortgage Loan Originators with enhancements and changes to operating systems to comply with appropriate standards and assure efficiencies.
- Coordinates the organization and procurement of required loan documentation, utilizing the appropriate checklist; maintains quality control on incoming files from branch offices for completeness; acts as a liaison with mortgage companies.
- Prepares file for disposition; communicates outstanding conditions, on a regular basis, to Mortgage Loan Originators in order for tracking and satisfying their outstanding documents with the centralized processing area and investor contacts.
- Verifies and processes a wide variety of mortgage information which will become part of the loan file, e.g., insurances, forms, etc.
- Inputs mortgage loan applications; processes verification forms; maintains loan applications log and processes mortgage pre-approval requests (as needed) in absence of Mortgage Loan Originators.
- Maintains required information and notifies appropriate personnel of information deficiencies as appropriate. Make sound judgment decisions based on secondary market knowledge to best service regulation, compliance, and customer service while at the same time affording us the opportunity to have the best product execution on behalf of our client base.
- Prepares a variety of letters and forms such as commitment letters, adverse action letters for declined loans, etc.; calculates estimated payments; type’s optional insurance disclosure and acknowledgment forms and verification of deposit and verification of employment forms.
- Supports the preliminary underwriting role of the MLO and assists with underwriting review as appropriate.
- Maintains HMDA registers for new loans, commitments, and denials.
- Provides information for, and assists in the preparation of, various loan reports as directed, i.e., fills out loan forms for demands, mortgages, construction loans and junior mortgages.
- Coordinates closing dates with settlement officer and loan processing area to allow for efficiencies and uniformity.
- Reviews final documentation for accuracy, signatures, and underwriting compliance prior to loan submissions.
- Performs other related duties as assigned or directed.

- Coordinates specific work tasks with other personnel within the department as well as with other departments in order to ensure the smooth and efficient flow of information and superior customer service.
- Cooperates with, participates in, and supports the adherence to all internal policies, procedures, and practices in support of risk management and overall safety and soundness and the Bank's compliance with all regulatory requirements, e.g. Community Reinvestment Act (CRA), Bank Secrecy Act (BSA), Equal Credit Opportunity Act, etc.
- Reports pertinent information to the immediate supervisor as requested, or according to an established schedule; compiles information as necessary or as directed and provides data to appropriate bank personnel.
- Responds to inquiries relating to his/her particular area, or to requests from customers, other Bank personnel, etc., within given time frames and within established policy in order to offer superior customer service.

Requirements
Education/Training: A B.S. or B.A. degree in a business-related field preferred; specialized bank and mortgage education and training.
Skill(s): Proficient reading, writing, grammar, and mathematics skills; proficient interpersonal relations and communicative skills; proficient PC skills; visual and auditory skills; valid driver’s license.
Experience: A minimum of two (2) years’ experience in related administrative positions required, prior experience with loan activity or function for consumer, auto, or mortgage loans is preferred.
