Key Responsibilities include
Client & Call Management
- Serve as the first point of contact for clients, referral partners, and visitors, ensuring a welcoming and professional experience.
- Answer and direct calls, schedule consultations, and follow up with clients as needed.
- Provide timely information to callers and help coordinate communication within the firm.
Scheduling & Coordination
- Manage the firm calendar, including attorney appointments, client meetings, and Zoom conferences.
- Confirm appointments and coordinate logistics across firm locations.
Mail & Document Handling
- Oversee daily mail, including logging, distributing, and preparing outgoing mail.
- Assist with document preparation, scanning, and filing to support attorneys and paralegals.
- Notarize and witness documents when required.
Office & Administrative Support
- Maintain office organization, manage supplies, and support day-to-day office operations.
- Update client information in firm systems and assist with administrative projects as needed.
