As part of our commitment to support division administrative activities, we’re looking to fill administrative assistant positions. These key roles offer a unique opportunity to contribute to large-scale projects, collaborate with inspiring leaders and ensure operations run smoothly. As an administrative assistant for a division, you help carry out administrative tasks for your sector. You provide administrative and secretarial support to a vice-president and, as needed, to other employees within the division. You actively help coordinate, plan and prioritize management activities. You work in an environment where relationships and business issues are complex and political, and you interact with a large number of stakeholders. More specifically, you will be required to:
Help managers manage and follow up on their agenda and occasionally help out with their emails
Carry out a range of secretarial tasks (draft, format, update, produce and revise documents from different sectors)
Perform various administrative tasks related to internal management (dashboard, expense account monitoring, etc.)
Oversee logistics; prepare for and participate in various meetings and events, including management committee meetings, team meetings and travel; and, as needed, prepare minutes and handle any related follow-ups with the senior advisor
Work regularly with those who work closely with the vice-president and coordinate deliverables for decision-making bodies.

What you bring to the table
Trade school diploma in a related field
A minimum of four years of relevant experience
Please note that other combinations of qualifications and relevant experience may be considered
Knowledge of French is required
Proficiency in IT tools and the Microsoft 365 suite at an intermediate to advanced level
