An Office Coordinator is responsible for various functions including, but not limited to:

  • Answer phones, greet customers and visitors with exceptional care and respect; with the goal to provide a special first impression to our incoming calls and visiting guests.  Interact with our guests, customers, fellow employees and vendors in accordance with the DiGeronimo Companies Care Pledge
  • Answer multi-line telephone system, take accurate messages and transfer telephone calls to the appropriate person in an efficient manner
  • Greet incoming visitors in a professional manner and promptly notify appropriate person of their arrival
  • Administrative and clerical assistance for office staff (including, but not limited to, word processing, typing, filing and organizational projects)
  • Responsible for BambooHR software administration, organization and all record keeping necessary for full functionality of HR processes, data collection and communication 
  • Provides assistance to HR Team including involvement in recruitment, benefits, onboarding, data and information systems, Co-Op Program, setting up meetings, employee programs, company events, etc.
  • Assist in the maintenance of conference rooms, bid rooms, training rooms, receptionist and waiting area, common areas, break rooms and coffee areas
  • Assist with scheduling safety meetings and employee events, reservations or travel arrangements and maintain conference room calendars
  • Sort, distribute and process mail, faxes, interoffice mail and deliveries
  • Will support various managers and/or owners with correspondence, phones/ messages, mailings, coordinating meetings/schedules, invoices, etc.
  • Handles office supply ordering as well as field supplies if necessary.
  • Handles scanning duties and job solicitations, assist estimators with subcontractor and material solicitation
  • Will create and maintain various reports as needed
  • Will be involved in various special projects and provide the administrative assistance needed to complete project
  • Assist project managers, shop managers, and equipment mangers with paperwork
  • Travel tasks to local post office, FedEx, store, etc. (mileage is reimbursed)

Do you have what it takes?

  • HS Diploma required; Associates degree preferred
  • Must have good working knowledge of office software and be able to create documents
  • This position may have an unusual amount of varied tasks, as it will support many different departments.  Person must be flexible and work with each manager to establish priority of assignments
  • Must present a professional image (in person, over the phone, via email) and must be able to maintain a high level of confidentiality as needed
  • Must have excellent verbal communication skills to deal with internal and external contacts; especially when representing owners and answering the phones
  • Must be able to effectively communicate verbally with employees of all levels, external vendors, government agencies, attorneys and others.  Many times communication is of a sensitive nature and tact and professionalism are very important. Clear and understandable written communication skills are very important.
  • Must be able to write effectively when drafting correspondence for managers/owners
