Job Summary:

The Administrative Assistant is responsible for the overall administrative functions of the office. Responsibilities include managing minor accounting and payroll functions; daily distribution of work orders; managing and ordering supplies; generating and submitting POs; ensuring payment of invoices; maintaining data and operational reports. Working with Sales and Customer Service Departments.

Essential Duties/Responsibilities:

  • Manage office administrative functions.
  • Perform minor accounting functions (payroll, AP, ledger entries, etc.).
  • Responsible for printing and sorting orders (Pick Tickets).
  • Follow-up with Sales/Customer Service regarding orders and customer-related issues.
  • Enter data into daily, weekly, and monthly statistic spreadsheets.
  • Daily, manage the team communication presentation (PowerPoint).
  • Monitor supply inventory.
  • Budgetary management and controls.
  • Schedule appointments, and communicate with vendors, transportation agents, staffing agencies, etc., for managers/supervisors.
  • Responsible for record retention, filing, and disposal of documents.
  • Must maintain all facility bulletin boards.
  • Creating and entering Purchase Orders (POs) for warehouse materials and office/cleaning supplies.
  • Ordering inventory materials and office/cleaning supplies.
  • Review, verify, and log invoices into a spreadsheet and submit invoices for payment.
  • Develop and lead facility safety program and culture.
  • Maintain equipment training and certifications.
  • Ensure the facility is safe and in OSHA compliance. Ensure communication, observation, and accountability of individual safety. 
  • Ensure all documents are accurate.
  • Run regular errands off-site (must have reliable transportation).

Job Qualifications: 

  • Experience working in a distribution center/warehouse facility.
  • Working knowledge of Microsoft Office. Must have solid computer skills to create Excel spreadsheets, graphs, and reports and use VLOOKUP and pivot table functions. AS400 experience is a plus (but not required). 
  • Must be able to follow written and verbal directions.
  • Must have good communication and phone etiquette skills.
  • Experience working in a fast-paced environment and can meet deadlines.
  • Must be willing to work overtime, long hours, and weekends to meet the needs of the company.
  • Excellent interpersonal skills and being a team player is a must.
  • Ability to schedule appointments and communicate with vendors, transportation agents, staffing agencies, etc.
  • Excellent attention to detail. 
  • Ability to match and verify product information accurately.

Education:

Some college coursework.

WORKING CONDITIONS

Environment:

  • Approximately 100% of the time performing job duties is spent indoors in a warehouse with limited heating or air conditioning.
  • Approximately 75% of the time is spent on the computer.
  • Noise level in the work environment is usually moderate. 
  • The temperature of the work environment, when in the office, is moderate and ranges from 65 – 80 degrees.

Physical Demands:

  • Occasionally lift from overhead or below the waist.
  • Occasionally bend, twist, push, pull, climb, squat, crawl and kneel.
  • Frequently reach with hands and arms; climb or balance; stand and walk; grasp with hands and fingers; and lift (up to 10 lbs.).
  • Continuously sit, use hands to finger, handle or feel objects, tools, or controls.

Machines, Tools and Equipment

  • Continuously use copier, fax, printers, and 10-key.
  • Continuously use writing instruments, computer and telephone.
