Responsible for oversight, tracking, and reporting of all financial activity, plus management of office services, which include information technology, human resources, and business management for Incarnate Word Academy. 


Hours:  7:30 – 4:00 Monday to Friday; additional evening or weekend hours required as needed.

ESSENTIAL DUTIES AND RESPONSIBILITIES


Controller

  • Ensure the fundamentals of standard accounting principles, policies, and standards are implemented and procedures documented.
  • Timely closing of books & reporting on a monthly and annual basis.
  • Manage Academy’s cash flow.
  • Track and run payroll.
  • Monitor investment performance and act as the primary point of contact with the investment firm.
  • Ensure staff/leadership adhere to accounting policy.
  • Review insurance needs and advise on opportunities to mitigate risk.
  • Provide all documentation to the outside auditing firm to complete the annual audit.
  • Educate staff on budget preparation and prepare a budget for approval by the Finance Committee and Board of Directors. 
  • Oversight of tuition collection.
  • Track and reconcile with advancement all donations, pledges, and fundraising expenses by campaign.
  • Maintain clear distinctions between net assets without donor restrictions and those with donor restrictions.
  • Review the terms of all contracts between the school and vendors.
  • Review work completed by direct reports.

Technology

  • Provide oversight for school information technology.
  • Review and process all purchase orders for technology. 
  • Provide planning and follow up on technology projects.
  • Coordinate bid reviews for new or recurring major purchases.


Human Resources

  • Administer the employee benefits plan.
  • Maintain employee files and document retention policies.
  • Remain in compliance with federal and state regulations.
  • Assist with the resolution of employment issues, benefits inquiries, and salary questions.
  • Provide support for hiring and terminations.
  • Complete exit interviews with non-returning staff.


JV IWA–Annunciation Parking Garage

  • Maintain the books for the parking garage joint venture.
  • Assist in creating the annual budget.
  • Prepare financial reports for the Owner’s Group.


Business Management  

  • Review financial information with senior leadership each month.
  • Maintain and update the 4-year plan and forecasting.
  • Serve as a member of IWA’s President’s Team, lead the Finance Committee, and attend Board of Directors meetings as needed.
  • Tracking corporate documentation and protection of non-profit status.
  • Manage Academy’s contracts.
  • Review and update school policies and procedures as needed.
  • Complete projects as assigned.
  • Negotiate and validate sufficient insurance coverage for the Academy each year.
  • Provide direct supervision for two employees.


Qualifications:

  • Bachelor’s degree in Finance, Accounting, or a relevant Business degree required, MBA or CPA preferred.
  • Minimum 5 years’ work experience in the Finance / Accounting field.
  • Previous supervisory experience. 
  • Ability to work independently and supervise employees.
  • Ability to prepare financial statements in accordance with GAAP.
  • Ability to communicate effectively orally and in writing with the IWA staff, Board members, parents, and other constituencies.
  • Competent in database management, spreadsheets, and word processing.
