About the Role:

The Medical Office Specialist plays a critical role in ensuring the smooth and efficient operation of a healthcare facility's administrative functions. This position is responsible for managing patient interactions, maintaining accurate medical records, and supporting healthcare providers by coordinating office activities. The specialist acts as a liaison between patients, physicians, and insurance companies, facilitating communication and ensuring compliance with healthcare regulations. By expertly handling medical billing, patient registration, and appointment scheduling, the Medical Office Specialist contributes to an organized and patient-centered environment. Ultimately, this role supports the delivery of high-quality healthcare services by maintaining operational excellence and fostering positive patient experiences.


Minimum Qualifications:

  • High school diploma or equivalent required; completion of a medical office specialist or medical assisting program preferred.
  • Proficiency in medical terminology and understanding of healthcare office procedures.
  • Experience with electronic medical records (EMR) systems and medical billing processes.
  • Strong telephone etiquette and customer service skills.
  • Ability to handle confidential information with discretion and professionalism.

Preferred Qualifications:

  • Certification as a Medical Office Specialist (e.g., AAMA, NHA) or Medical Assistant.
  • Experience working in a physician’s office or similar healthcare setting.
  • Familiarity with insurance claim processing and healthcare reimbursement procedures.
  • Advanced knowledge of medical billing software and electronic health record systems.
  • Bilingual abilities to support diverse patient populations.

Responsibilities:

  • Manage patient registration processes including verifying insurance information and updating patient records.
  • Answer and direct incoming phone calls with professionalism and appropriate telephone etiquette.
  • Maintain and update electronic medical records (EMR) accurately and confidentially.
  • Assist healthcare providers by preparing and organizing patient charts and medical documentation.
  • Process medical billing and coding in compliance with healthcare regulations and insurance requirements.
  • Schedule patient appointments and coordinate follow-up visits to optimize provider availability.
  • Communicate effectively with patients, physicians, and insurance companies to resolve administrative issues.
  • Ensure compliance with HIPAA and other relevant healthcare privacy and security standards.
