Title: Tax Specialist 

Hybrid 1-2 days out of Longwood, FL or Lakewood Ranch, FL office | Required Experience: Payroll Service Bureau, MasterTax, and knowledge of payroll taxes

About the Role:The Payroll Tax Specialist plays a critical role in ensuring accurate and timely payroll tax processing for POA clients. This position is responsible for managing all aspects of payroll tax operations, including daily deposits, quarterly and annual filings, and notice resolution. The ideal candidate is detail-oriented, client-focused, and technically proficient, with the ability to collaborate across departments, maintain data integrity, and contribute to process improvements. This role also supports client onboarding and compliance efforts, and participates in ongoing professional development. 
 
Key Responsibilities: 

  • Payroll tax processing: Prepare and submit timely federal, state, and local payroll tax deposits using MasterTax software. 

  • Client onboarding support: Review new client setups for accuracy, including tax codes, account formatting, start dates, and payroll schedules. 

  • Conversion data validation: Balance and verify conversion data against source documents such as tax returns and payroll records. 

  • Tax account registration: Assist clients in registering for payroll tax accounts and ensure electronic filing access is established. 

  • Power of Attorney management: Process POA forms as required for tax account access and compliance. 

  • Quarterly and annual filings: Prepare and file payroll tax returns, including W-2 coordination and amendment processing. 

  • Taxable wage audits: Conduct periodic audits to identify discrepancies in taxable wages, FICA variances, and W-2 data. 

  • Notice resolution: Monitor and respond to correspondence from tax agencies, resolving issues promptly and professionally. 

  • Unemployment rate tracking: Maintain and update annual state unemployment rates for client accounts. 

  • Reconciliation support: Assist with reconciliation payrolls and variance resolution during quarter-end and year-end reporting. 

  • Internal collaboration: Work closely with Implementation, Payroll, and HRIS teams to support cross-functional initiatives. 

  • Client service excellence: Deliver proactive, professional communication and support to clients and internal stakeholders. 

  • Process improvement: Identify and communicate opportunities to enhance operational efficiency and data accuracy. 

  • Training and development: Participate in internal and external training to maintain technical competence and industry knowledge. 

  • Team support: Act as a backup for teammates and contribute to overall team service excellence.

Ideal Candidate Qualifications: 

  • 3+ years of Payroll Service Bureau experience (Required) 

  • MasterTax experience (Required) 

  • Strong knowledge of payroll tax regulations and compliance 

  • High degree of Excel proficiency (formulas, pivot tables, V-lookups) 

  • Ability to gather and analyze data with attention to detail 

  • Experience working directly with clients and Sales teams 

  • Excellent written and verbal communication skills 

  • High School Diploma (or equivalent)

Salary Range

The expected pay range for this position is $45,000 to $70,000 per year, depending on experience, relevant skills, and geographic location.
