Position Summary
The HFS Data Specialist is responsible for data entry, analysis, and reporting for the programs within the Housing and Financial Stability division. This position is primarily responsible for inputting and monitoring all data within each program’s database to track outputs, monitor outcomes, and ensure data compliance. The HFS Data Specialist analyzes data to create reports and shares the analysis with the program teams and funders, as needed. This position has access to sensitive Congreso client information and is expected to handle such information with integrity and professionalism.
This position reports to the HFS Division Director and has tasks supervised by Managers of the three departments. This is a Hybrid position. Work location is subject to change based on program need.

Essential Functions

- Represents Congreso’s mission, values, and commitment to diversity, equity, inclusion, and belonging and will be an ambassador of our work.
- Completes daily entry of client referrals, enrollments, dismissals, demographics, and program indicators in agency and funder databases.
- Maintains the Case Tracking spreadsheets, including entering the case status and contact data into the spreadsheets and assisting case managers with Excel issues.
- Reconciles internal data systems with funder databases to supply accurate data and audits the data monthly, at minimum, to ensure accuracy.
- Implements and analyzes client satisfaction surveys.
- Develops monthly and quarterly reports that reflect outcomes per program, contract, and/or department.
- Completes the Vital Signs and Key Performance Indicator report quarterly or semi-annually and presents the results to the teams.
- Coordinates with team members to fill in data gaps as necessary to ensure data compliance and meet funder deadlines.
- Provides technical assistance support to the teams for Excel and data-related needs.
- Works with program leadership and the Learning & Evaluation team to promote best data practices and make the data collection system more effective and efficient.
- Supports program managers with quality assurance of data and case files.
- Keeps relevant program data and all files/records organized.
- Maintains program data records according to program guidelines.
- Assists with additional administrative tasks related to case files or program reports as needed.

- Ability to effectively use standard office equipment, including a variety of common software programs such as Office365, UNIDAD, and other customized databases.
- Follows through on assignments, works in a timely manner, within established deadlines, and completes special projects specific to the function of the department, as needed or as directed by supervisor.
- Demonstrates ability to work independently and collaboratively with diverse groups, in a compassionate, courteous, and respectful manner that fosters an inclusive environment.
- Strong written and verbal communication skills including effective and respectful communication with individuals and groups.
- Bilingual (Spanish/English) written and verbal skills is a plus.
Supervisory Responsibilities
This position has no supervisory responsibilities.
Minimum Experience, Education, and Qualifications
Minimum Education:
Associate’s degree a plus; experience in lieu of education considered. Intermediate Excel skills will be tested during the interview process.
Minimum Experience:
1 year working in an office environment.
Certification/License:
Mandated Reporter and Supporting Children and Families with Disabilities certifications are required and may be completed post-hire.
