Summary 

The Levanta Institute for Music and Creativity at Albuquerque Academy is seeking an individual for the position of year-round, part-time (0.5 FTE) assistant to the director. Under the supervision of the director and in collaboration with other school and outside personnel, this position is responsible for coordinating communications, marketing, social-media posts, hiring practices, and event planning and implementation. Preference is given to candidates who are passionate about arts education and are willing to think out-of-the box to create a unique, student-centered learning environment that places emphasis on student agency, creativity, and fun. The assistant is expected to be a reliable, consistent, and inclusive communicator. Strong candidates are attracted to our mission and see themselves as engaged community members.

The Levanta Institute at Albuquerque Academy seeks to maintain a diverse and energetic staff to work on campus. Essential Functions

  • Communications (via email-primarily): Compose and design attractive and well­ written email correspondences.
  • Respond to email correspondence from customers in a timely manner-within one business day.
  • Database management: Use the school databases, e.g., Veracross and Camp and Class Manager (CCM), to build and manage class and event registrations.
  • Event Support: Arrange volunteers for events, as well as facilitating travel and accommodations for out-of-town guests. Attend various events and provide help with setup and guest services.
  • Scheduling: Help with the scheduling of private lessons, classes, physical spaces and classrooms for various events.
  • Hiring and Payroll: Help submit the paperwork for Human Resources to facilitate successful recruitment, hiring, and payroll processing for Levanta employees and contractors.
  • Marketing and social media: Collaborate with the director to design and disseminate a marketing plan and materials, including developing and executing on a social media content calendar.
  • Programming: Collaborate on the design and implementation of creative and unique offerings and events.
  • Cultural competence: Communicate and work effectively across differences.

Other Responsibilities

  • Communicate with director in a timely and efficient manner.
  • Attend employee meetings as needed.
  • Perform other duties as assigned.

Job Qualifications

 A bachelor's degree is preferred; however, candidates without a higher education degree but with a proven work history of dedication and enthusiasm will be considered as well. Fluency and familiarity with various word processing and communication tools are required. These tools include email, Outlook, Excel, Google Docs, and Adobe. The willingness to learn Veracross and CCM is required, as well.

Education

  • A high school diploma or equivalent is required.
  • A bachelor's degree is preferred.
  • Experience in administrative work and arts administration may be considered in lieu of higher education.

Experience

  • Previous experience in arts or non-profit work is highly preferred.
 Knowledge/Skills/Abilities
  • Creativity, problem solving, self-assessment, and diligence. Knowledge of art form and instructional approaches is strongly preferred.
  • A willingness to be creative, brainstorm, work hard, and collaborate.
  • Strong organizational skills and time management skills.
  • Excellent communication skills and public speaking skills.
  • Ability to maintain confidentiality and work independently.

 Special Requirements

  • Must be legally authorized to work in the United States.

 Working Environment

  • Majority of work is performed in an indoor setting at Albuquerque Academy.
  • This is a 0.5 FTE, year-round position. Work hours are flexed and will involve a combination of typical workday hours (8am-Spm), evenings (6pm-8pm), usually on weekdays. Attendance at weekend events, with advance notice, may be required as well.
