ABOUT THE POSITION
The Home Equity Line of Credit (HELOC) Loan Processor is responsible for managing all post-approval processing activities required to move Home Equity Line of Credit (HELOC) applications toward closing. This includes communicating with members to collect stipulations, ordering and reviewing property-related due diligence, validating title and insurance documentation, and coordinating internally to ensure loans are ready for document generation and funding. This position is critical to ensuring lien perfection, regulatory compliance, and timely closings. The HELOC Loan Processor supports both digital and branch-referred HELOC applications within a centralized loan fulfillment model and works closely with internal teams and external service providers.
NORMAL DAY-TO-DAY WORK
- Serve as the primary point of contact for members following loan approval, guiding them through the documentation and stipulation collection process needed to proceed to closing.
- Order and track third-party due diligence including title search or preliminary title report, flood zone determinations, property tax verification, property valuations or AVMs (as applicable), and proof of current homeowner’s insurance.
- Review title documentation to confirm clear ownership, no outstanding liens or judgments, legal description accuracy, and acceptable lien position for recording.
- Coordinate with title companies or legal vendors to resolve title exceptions, unpaid liens, or other curative items.
- Review homeowner’s insurance and, when required, flood insurance to confirm appropriate dwelling coverage, Civic listed as mortgagee/loss payee, and that deductibles meet internal guidelines.
- Validate that all underwriting conditions and stipulations have been received, complete, and properly documented before submission to closing preparation.
- Maintain digital loan files and documentation in the loan origination system (LOS), ensuring files are updated in real time and fully complete.
- Coordinate with internal teams—including Underwriting, Fulfillment, and Post-Closing—to ensure loan files are clean, compliant, and ready for closing document generation.
- Track closing timelines and escalate any delays, missing items, or document issues to the Loan Processing Lead or appropriate parties.
- Follow up on trailing items after closing, including title policy delivery and recorded mortgage/deed verification to confirm lien perfection.
- Participate in training sessions and process updates to maintain accuracy, efficiency, and compliance with changing HELOC guidelines or regulations. Assist in quality control reviews, document imaging, and audit preparation as needed.
- Take ownership for actions, decisions, and results; openly accept feedback and demonstrate both the willingness and ability to improve.
JOB QUALIFICATIONS
Here are a few skills you MUST have to be qualified for this position.
- 1 – 3 years of HELOC or mortgage processing experience in a centralized lending environment.
- Strong knowledge of home equity lending documentation including title review, insurance validation, and lien perfection practices.
- Familiarity with HELOC compliance and due diligence requirements including TRID, RESPA, ECOA, and related federal/state regulations.
- Experience working with members to collect documentation and manage pipeline expectations professionally and accurately.
- Proficiency in loan origination systems (LOS) and digital document platforms.
- Excellent attention to detail and organizational skills to manage a high-volume pipeline.
- Strong communication and problem-solving skills for working with members and external vendors.
- Ability to function in a Consumer business office environment and utilize standard office equipment including but not limited to: PC, copier, telephone, etc.
- Ability to lift a minimum of 25 lbs. (file boxes, computer).
- Travel required on occasion.

- Credit Union experience preferred, particularly in a digital or centralized lending model.
- Exposure to Fiserv Velocity or similar LOS platforms.
- Familiarity with e-signature or remote notarization processes.
- Experience coordinating title curative work or lien release follow-up.
- Bilingual (Spanish) is a plus.
