The Nursing Staff Scheduler provides scheduling assistance to Nursing Department; compiles and maintains records and tracks attendance and other records for the nursing department. The Nursing Staff Scheduler is responsible for scheduling nursing employees in accordance with federal, state, and community standards and is accountable for the nursing department daily scheduling report and daily budget utilization of staff within the approved PPD.

Job Qualifications

Education/Training

  1. High School Diploma or GED equivalent.

Experience

  1.  Prior scheduling experience within a healthcare institution preferred.
  2.  Computer experience
  3.  Licensed as a QMA/CNA preferred.

Required Knowledge, Skills, and Abilities:

  1. Strong verbal, organizational and interpersonal skills.
  2. Ability to organize and prioritize work to meet deadlines.
  3. Ability to work with minimal supervision. 

Essential Job Functions

 A. Answers telephone; responds to routine questions, or routes calls to appropriate staff member; delivers messages.

 B. Maintains nursing employee files.

  1. Sets-up new nursing employee files.
  2. Maintains / updates index ensuring accuracy of phone number, etc.
  3. Sends / communicates pertinent information to Director of Nursing.
  4. Files information in respective files.

 C. Schedules nursing interviews and initiates nursing personnel files

  1. Ensures reference checks are completed.
  2. Obtains Licenses and /or certificates when applicable; verifies license with Board of Health.

 D.  Receives Incident Reports regarding employees and ensures proper filing.

 E.  Compiles and updates departmental records/forms.

 F.   Maintains and is aware of state and federal regulations in relation to staffing and resident hours.

 G.   Schedules nursing employees for shifts.

  1. Prepares and revises nursing schedule at least one week in advance.
  2. Posts monthly schedule at least one week in advance.
  3. Presents to DON for approval all personal/vacation time, writes Employee Status Reports.
  4. Manages the trade of shift requests.
  5. Updates on-line schedule daily; posts nursing schedule and needs list as needed.
  6. Ensures all areas are staffed according to census and budgeted PPD. Reviews with DON as needed.              1.  Checks for “call-ins”. 2.  Replaces absent employees.                                 

H.  Maintains attendance records for nursing.

  1. Receives and records absentee/tardy slips within on-line scheduling software.
  2. Processes disciplinary forms relating to attendance; forwards to appropriate management staff for implementation.  

 I.   Checks and updates all schedules in scheduling software routinely to ensure accurate attendance.

  1. Pulls reports from scheduling software to identify errors and corrects. Ensures codes are accurate within scheduling software according to policy/procedure.
  2. Ensures on-line schedule accurately reflects employees personal, vacation, holiday, and absences.
  3. Tracks nursing incentive bonus on spreadsheet per nursing employee and submits spreadsheet to Payroll representative for processing.
  4. Monitors second rates, shift differentials, and Baylor premium to ensure nursing employees are being paid accurately per payroll period. Monitors timecards for unauthorized overtime/absences/tardies/left early to ensure attendance points are calculated accurately within the on-line scheduling software which also includes ensuring employee schedules are accurate within each pay period; also reports attendance concerns and occurrences to DON.
