Ward Road Pharmacy is seeking an experienced DME Intake Specialist to join our growing team. This role is responsible for coordinating and processing referrals for enteral nutrition and durable medical equipment, with a strong focus on G-tube supplies, enteral pumps, button kits, extension sets, formula and incontinence products. The ideal candidate will have a clinical background (such as nursing, dietetics, respiratory therapy, or medical assisting) and direct familiarity with enteral nutrition therapies.
The DME Intake Specialist will serve as the first point of contact for new patient referrals, ensuring complete and accurate documentation, compliance with payer requirements, and seamless coordination between patients, prescribers, and internal staff.
Job Description:Key Responsibilities:
· Receive and process new DME referrals, verifying completeness of physician orders, CMNs/PARs, and supporting documentation.
· Review clinical documentation to confirm medical necessity and payer-specific requirements.
· Accurately enter patient, insurance, and order details into the EMR/DME software system.
· Coordinate with prescribers’ offices, case managers, and families to obtain missing documentation.
· Verify insurance coverage, obtain prior authorizations, and ensure compliance with Medicaid, Medicare, and commercial payer guidelines.
· Provide product education to patients and caregivers, with a focus on G-tube supply kits, enteral pumps, button kits, extension sets, and nutritional formula.
· Collaborate with pharmacy, warehouse, and delivery teams to ensure timely setup and delivery of supplies.
· Maintain accurate, organized patient intake records and ensure compliance with HIPAA regulations.
· Serve as a clinical resource within the intake team for enteral nutrition-related products and patient care needs.
Qualifications:· Required:
o Minimum 2 years of experience in DME intake, home health, infusion, or related healthcare setting.
o Familiarity with enteral nutrition products (pumps, button kits, extension sets, formulas).
o Working knowledge of Medicaid, Medicare, and commercial insurance requirements.
o Strong attention to detail, organizational skills, and ability to multitask in a fast-paced environment.
o Excellent communication and customer service skills.
· Preferred:
o Clinical background such as RN, LPN, RD, RT, or CMA.
o Experience with Brightree, CPR+, or other DME/pharmacy software systems.
o Bilingual (Spanish/English) a plus
