Primary Purpose
The Medical Equipment and Supply Coordinator supports the logistical operations of Boston MedFlight, with a primary focus on the retrieval and return of partner pre-hospital EMS agency equipment. This role also assists with the logistical needs for Boston MedFlight's medical supplies and equipment. This is a part-time position not to exceed 36 hours per week without prior manager approval.
Key Responsibilities
- Visit receiving hospitals and relevant departments to retrieve EMS agency equipment.
- Clean and arrange for the timely return of pre-hospital equipment to the appropriate EMS agencies.
- Monitor and maintain tracking records for all pre-hospital equipment retrieval, cleaning, and returns.
- Communicate with EMS agencies regarding the status of their equipment.
- Retrieve hospital-owned equipment brought with patients and return it to the originating facilities.
- Under strict protocols developed in collaboration with Boston MedFlight, Boston Medical Center (BMC), and the Department of Public Health, transport controlled substances weekly from BMC Pharmacy to Boston MedFlight bases.
- Return outdated controlled substances monthly from BMF bases to BMC Pharmacy.
- Deliver weekly base supply orders, typically coordinated with the controlled substance transport schedule.
- Foster positive working relationships with personnel from consortium hospitals and EMS partners.
- Inspect, clean, and restock rooftop helipad supply lockers at consortium hospitals.
- Assist the Medical Equipment Specialist with transporting medical equipment between BMF locations and contracted vendor repair facilities.
- Work with BMF operational leaders to retrieve equipment left at facilities by transport crews.
- Perform other duties as assigned and approved by the supervisor.
- Maintain strict confidentiality regarding patient information and mission details.
- Communicate clearly and positively with coworkers, patients, hospital staff, and community members.
- Support the request of other BMF departments (aviation, ground, development) with the assistance of moving vehicles, equipment and personnel between BMF locations and various vendors or event locations.
Additional Responsibilities
- Perform computer data entry and administrative tasks as assigned.
- Complete general errands as needed.
- Travel without restriction between BMF bases, Boston, and surrounding communities.
Minimum Qualifications
- Valid Massachusetts driver's license in good standing.
- Familiarity with pre-hospital equipment, safety protocols, and universal precautions.
- Ability to read, speak, write, and understand English without restriction.
- Must pass a criminal background check.
- EMT certification preferred.
Working Conditions/Physical Demands
- Ability to lift 50 pounds unassisted and up to 175 pounds with a partner.
Notes
- Must pass FBI and/or CORI background check prior to starting employment.
- Pre-employment physical.
- Participation in random drug and alcohol testing.
- Valid U.S. passport, Real ID-compliant driver’s license, and authorization to work in the U.S.
- This is a full-time, non-exempt position, including overtime pay.
- This position requires current COVID-19 and seasonal flu vaccinations, subject to medical or religious exemption requests.
