JOB SUMMARY:
The Executive Administrative Assistant role is pivotal within our department, providing crucial support to Send Network Executive Leadership. Responsible for enhancing the Send Network President’s effectiveness by providing executive administrative support in the areas of speaking, calendaring, communication, staff leadership, expensing, and recordkeeping while vigorously developing strong relationships with the other departments at NAMB and the entire Send Network team. Provides executive-level administrative leadership and by performing the essential duties and responsibilities listed below
MINISTERIAL QUALIFICATIONS
All staff positions are considered ministerial in nature due to the purpose and mission of the North American Mission Board.
KEY AREAS OF RESPONSIBILITIES:
Team Culture and Work Ethics
Participate in fostering a vibrant team culture focused on prompt,
exceptional service, proactively identifying requirements before they are explicitly stated, communication, trust and enjoyment, while actively engaging in the execution of administrative support to achieve Send Network initiatives.
Executive Administrative Support
Monitor President’s incoming email and coordinate appropriate responses either directly from him or on his behalf. Liaison with staff team members, colleagues, pastors, planters, and partners when President is unavailable to communicate directly with them.
Create, maintain, & administer President’s daily and weekly calendar, and schedule all meetings and commitments pertaining to the same.
Create, monitor, update, and enforce ongoing executive plan for providing guardrails to protect President’s work-life balance, and his commitments to his family.
Coordinate ongoing recruitment of SN planters and personnel into coaching and/or continuing education programs such as 6:4’s Praying Leader Coaching.
Onsite administrative support (e.g. NAMB office, local, meetings)
Administer President’s travel and office expenses, including maintaining President’s corporate credit card in good standing – and, when necessary, invoicing for any personally reimbursed speaking travel in which President engages.
Coordinate and maintain digital library of all sermon content, video scripts, and podcast notes written, preached, or owned by President, and work with office staff to ensure corresponding physical files are kept in order as well.
Maintain and keep updated w/in reason, a comprehensive listing of items in President’s ministry library.
Tactical support for travel adjustments.
Perform or delegate other executive / administrative tasks as required from time to time by President for the smooth ongoing functioning of his office and his schedule.
Special projects as required by supervisor
EDUCATION AND EXPERIENCE
Undergraduate degree required
Executive assistant experience required
Intermediate level of computer proficiency and technology skills
Experience working with high caliber leaders
Self-starter; highly motivated, driven
Strong attention to detail
Excellent written and verbal communication
Thrives on structure, clarity and accuracy
