Key Responsibilities
- Oversee office operations, ensuring a productive and organized work environment.
- Breakrooms Maintenance: Brew coffee and restock snacks throughout the day. Tidy up the break rooms at the end of the day and during office closures.
- Maintain and ensure labor law poster(s) visibility and work with HR department to coordinate updates.
- Greet visitors, answer phone calls, and respond to inquiries in a professional and friendly manner. Direct calls and visitors to appropriate staff members.
- Serve as initial point of contact for company notarization needs.
- Coordinate schedules, appointments, and meetings for staff members. Ensure accurate and up-to-date records.
- Prepare and distribute correspondence/mail and reports as needed. Ensure effective communication among staff members.
- Maintain the directory list updated for all locations.
- Create, maintain and post birthday and anniversary lists.
- Maintain accurate and organized records, both physical and digital. Ensure confidentiality and security of sensitive information.
- Enter data into computer systems, ensuring accuracy and efficiency. Update records and databases as needed.
- Manage financial transactions, including invoicing, expenses, and budgeting for the front desk.
- Manage and assist with expense reports, as needed.
- Order and manage office supplies, equipment, and materials. Ensure cost-effective and efficient use of resources, making sure to obtain the appropriate approvals.
- Coordinate travel plans, bookings, and itineraries for staff members. Ensure accurate and timely arrangements.
- Assist with planning and coordinating events, meetings, and conferences. Ensure successful and efficient execution.
- Serve on the Social Committee to help plan and execute company events and functions.
- Manage incoming and outgoing mail, packages, and courier services. Ensure timely and secure delivery. Twice a week collect postal mail from post office.
- Main contact for UPS at the corporate level. File claims, set up new locations, train others on how to use UPS WorldShip.
- Provide exceptional customer service to our customers, vendors and employee owners, responding to inquiries and concerns in a professional and friendly manner.
- Assist with consumer emails, calls and questions about where to buy our products.
- Offer administrative support to team members, ensuring efficient use of resources and effective collaboration.
- Assist with special projects, including research, data entry, and coordination. Ensure successful execution and delivery.
- Identify areas for improvement and implement changes to increase efficiency and productivity. Ensure ongoing learning and development.
Skills, Knowledge and Expertise
- 3+ years of experience in an administrative role.
- High school diploma or equivalent required; post-secondary education in business administration or a related field preferred.
- Current certification as a Colorado notary, preferred. Training will be provided to certify candidates that do not have this certification.
