Basic Qualifications

Mortgage Processing/Closing Representative

Education/Training: A high school diploma or equivalent; AIB related courses or associate degree in related field preferred.

Experience: A minimum of two (2) years’ mortgage processing experience normally required.  


Mortgage Processing/Closing Specialist

Education/Training: A high school diploma or equivalent required with Associates Degree in business related field preferred; Bank specific training and courses preferred.

Experience: A minimum of four (4) years’ mortgage processing experience normally required.


Skill(s): Clearly communicates in English; proficient reading, writing, grammar, and mathematics skills; moderate interpersonal relations and communicative skills; proficient PC skills; working knowledge of secondary loan processing procedures and requirements; visual and auditory skills.


General Responsibilities

Responsible for performing a variety of duties to support the mortgage loan processing function and the mortgage loan closing function; abides by the current laws and organizational policies and procedures; Cooperates with, participates in, and supports the adherence to all internal policies, procedures, and practices; coordinates coordinating work within the department, as well as with other departments; reporting pertinent information to the immediate supervisor; responding to inquiries or requests for information. Maintaining appropriate records and providing assigned reports.


Essential Duties


  1. Performs a variety of duties to support the mortgage loan function as follows:

      a. Monitors for new incoming applications, pre-approval requests and partial submissions.

      b. Monitors the department group email for incoming reports (i.e. title reports and searches, appraisal reports, inspections)

      c. Updates loan application information on loan origination system and submits to automated underwriting system, as necessary.

      d. Prepares and sends appropriate disclosures as required by regulations.

      e. Coordinates with origination officer to obtain all necessary support documentation for loan application and sends initial disclosure package and document request letter to the borrower(s) on behalf of the lender (as required by regulations)

      f. Manages incoming documentation from the loan originators to ensure more complex files are updated as necessary and documentation submitted is accurate and complete, meets policy, meets established standards, and ensures adherence with the Secondary Market guidelines. Ensures necessary qualifications have been met by the applicant.

      g. Maintains the accuracy of the pipeline log.

      h. Orders appraisals, valuations, credit reports, and verifications as required and maintains ongoing communication with Appraisers to ensure deadlines are met. 

      i. Submits prepared packages to appropriate agency, i.e. USDA, and mortgage insurance companies, as necessary.

      j. Maintains all customer records and loan document files in proper order.

      k. Prepares commitment letters for more complex mortgage loans, issues closing instructions to settlement agent; orders and reviews title work and tracks closing dates on more complex mortgages, to assure closing deadlines are met.

      l. Works with Lenders, attorneys, title companies, etc. to coordinate closings, order surveys, as necessary, and make sure all necessary mortgage documentation is completed and delivered in a timely manner and in accordance with secondary market guidelines.

     m. Prepares loan closing documents for more complex mortgage loans, prepares the Closing Disclosure, and submits to borrower as per regulatory timelines.

     n. Reviews Closed loan files for proper compliance, disclosures, signatures, and documentation.

     o. When necessary, makes corrections to closing documents and forwards corrected documents to the originator for signature.

     p. Disburses Proceeds on closed loans.

     q. Uploads loan data and all documents to the core.


2. Reviews inspection forms on all construction loans and monitors the process of and maintains progress reports on all repairs, renovations, improvements, and constructions until escrow monies have been paid out, including any insurance claims.

3. Coordinates specific work tasks with other personnel within the department as well as with other departments to ensure the smooth and efficient flow of information.

4. Abides by the current laws and organizational policies and procedures designed and implemented to promote an environment which is free of harassment and other forms of illegal discriminatory behavior in the workplace.

5. Cooperates with, participates in, and supports the adherence to all internal policies, procedures, and practices in support of risk management and overall safety and soundness and the Bank's compliance with all regulatory requirements.

6. Reports pertinent information to the immediate supervisor as requested, or according to an established schedule; compiles information as necessary or as directed and provides data to appropriate Bank personnel.

7. Responds to inquiries relating to his/her area, or to requests from customers, other Bank personnel, etc., within given time frames and within established policy.

8. Maintains appropriate records and provides assigned reports.
