Position Overview
We are seeking a seasoned Executive Assistant to support our Chief Operating Officer (COO) and collaborate closely with senior leadership. This is a high-visibility role in a fast-growing, cutting-edge food service management company. The Executive Assistant will be responsible for managing day-to-day priorities, keeping long-term projects on track, and anticipating the needs of the COO in a dynamic environment.

Essential Functions
Calendar & Communication Management
- Organize and manage complex executive calendars, proactively resolving conflicts.
- Prepare meeting notes, agendas, attendee bios, and follow-up actions.
- Manage executive email inbox to ensure critical communications are prioritized.
- Maintain clear communication and provide progress updates on initiatives.
Travel & Logistics
- Arrange comprehensive travel accommodations, itineraries, and last-minute adjustments.
Administrative Support
- Draft correspondence, meeting recaps, reports, and polished presentations.
- Process expenses and track budgets.
- Coordinate follow-up meetings and ensure alignment on key initiatives.
Project & Initiative Support
- Assist in preparing strategic initiatives, problem statements, and solution frameworks.
- Track progress on projects using organizational tools and reporting software.
- Conduct research projects (products, client engagement, market data).
- Support executives in keeping long-term projects aligned with organizational priorities.
Marketing & Data Support
- Assist in refining marketing plans, ensuring presentation-readiness.
- Gather internal statistics and external research to support business initiatives.
Confidentiality & Discretion
- Handle sensitive business and personal information with complete discretion.
Required Qualifications
- Minimum of 3 years in a similar executive or senior administrative support role.
- Excellent oral and written communication skills.
- Exceptional computer skills, including proficiency in Microsoft Office Suite; familiarity with Salesforce, reporting, or database management tools is a plus.
- Ability to prioritize and manage multiple tasks simultaneously.
- Exceptional organizational skills and keen attention to detail.
- Comfort and professionalism in working with all levels of internal and external contacts.
- Self-motivated, proactive, and forward-thinking approach.
- Proven ability to work independently and solve problems with resilience.
- Must successfully pass a criminal background check.
