The Onboarding Specialist is responsible for the coordination and completion of all aspects of the onboarding process for new hires and rehires within UG2, including conducting social security number verification and submission of applicable background check requests. The Onboarding Specialist is responsible for understanding and effectively interpreting and applying UG2’s hiring policies and procedures, ensuring that all required clearances are completed and accurately documented within the HR guidelines. The Onboarding Specialist will ensure that no individual commences their employment/engagement with UG2 unless each step has been satisfactorily completed as per the hiring policy.
Job Responsibilities:
- Serve as primary contact for the onboarding process for new hires and rehires, from generating conditional offer of employment letters to ensuring the accurate completion of all required paperwork, verification of acceptable employment documentation and onboarding process steps.
- Respond to various requests regarding onboarding procedures and UG2 related policies from new hires and managers.
- Conduct pre-employment verifications such as social security number and background screening.
- Responsible for accurate and timely data entry of onboarding documents information into ADP System to ensure timely activation within payroll, IT and other UG2 systems as required.
- Maintain the accuracy and compliance of all new hire personnel folders; paper and or electronic file including scanning as required.
- Perform filing of new hire personnel folders and I-9 forms.
- Responsible for self-auditing own data entry and employee files for accuracy and required documentation.
- Deliver an excellent customer service experience by facilitating a welcoming and seamless onboarding experience.
- Build and maintain strong working relationships with key UG2 stakeholders.
- Attend start-up onboarding sessions to collect necessary paperwork (local and travel).
- Coordinate with new managers monthly onboarding paperwork training.
- Other duties as assign by the Team Lead.

- Engage with all leaders and stakeholders.
- Engage with new and current employees.
- Partner with VP of People and HR Team.
Requirements (Knowledge, Abilities, Skills, and Education and/or Experience:
- One to two years of onboarding and/or HR related experience is preferred.
- Must be able to work in a structured and process driven environment that demands high quality standards.
- Demonstrated service delivery experience to include direct engagement with internal and external customers.
- Excellent communication and people skills; must be able to effectively communicate at all levels of the organization.
- Proficiency in Microsoft Office and other related products.
- Ability to meet multiple deadlines and identify/solve problems accordingly.
- Good analytical thinking and attention to detail skills.
- Discretion with confidential information.
- Good verbal and presentation skills.
- Bilingual – English/Spanish.
Working Conditions and/or Physical Requirements
- Office-based role with potential for occasional visits to operational sites.
- Ability to lift up to 45 pounds.
- Attention to detail, organization skills, and the ability to work in various physical positions, including standing, sitting, and walking.
