Essential Duties and Responsibilities:

This list of duties and responsibilities is not all inclusive and may be expanded to include other duties and responsibilities as management may deem necessary from time to time.


1. Recordkeeping and Employee Database:

· Organize, maintain, and purge confidential department files

· Create personnel and other folders for new hires and other HR activities.

· Enter training information.


2. Greeting Employees and Answering Inquiries:

· Answer the general HR office phone number, answer question or direct call appropriately.

· Greet visitors to the HR office, directing them to the appropriate staff member to address their issue or to schedule an appointment.

· Act as resource for employees to address and resolve basic HR-related inquiries and problems.


3. Administrative Support:

· Compose or update letters, memos, correspondence, policies and job descriptions and other documents.

· Open, sort, screen and distribute departmental mail.

· Make copies, scan, fax or print documents as needed.

· Maintain and update HR-related policies, safety manual and employee handbook.

· Prepare mass mailings and e-mails.

· Back up to the receptionist

· Organize and maintain HR-related bulletin boards throughout Steel Warehouse-South Bend facilities.

· Make security cards for new hires, visitors, and when employees lose their cards.

· Attach HR-related information to paychecks as needed.

· Call employees to remind them to turn in certain forms as needed.

· Assist with gathering safety glasses forms.

Schedule meetings as requested. 

· Coordinate HR staff travel plans as requested.


4. Employment Activities Support:

· Assist with administering pre-employment assessment tests as needed.

· Schedule drug and alcohol tests as requested.

· Create new hire packets as needed.

· Assist employee with completion of the new hire paperwork, such as I-9, W-4, and WH-4 forms.

· Maintain employee referral spreadsheet, updating as needed and sending out memos to staff when running low on referrals.

· Coordinate criminal and education background checks.

· Assists the hiring managers in interviewing and selecting qualified candidates for general labor production openings. Schedule interviews as requested. Prepares and communicates offer letters for general labor production employees.

· Back-up the HR Generalist with the company time keeping system every day to create and print out violation letters.

· Responsible for managing all Leave of absence requests turned in by the union steward and/or the supervisor

· Other duties as assigned.


5. Benefit Administration Support:

· Update call in vacation spreadsheet-send out letters.

· Assist with or coordinate social events.

· Assist with benefit enrollment meetings and enrollment paperwork.

Work with HR Generalist to conduct new hire orientation including benefits, safety and general company policies.

Qualifications:

1. Associate Degree and (3) plus years of HR experience is stongly preferred

2. High School diploma or GED required

3. Minimum of three (3) years of office and/or customer service experience required.

4. Experience with office computer software required. Demonstrated experience with Microsoft Office Suite software packages, such as Outlook. Word, Excel, and PowerPoint preferred.

5. Effective communication skills required.

6. Effective interpersonal and customer service skills required.

7. Effective organizational and prioritization skills required.

8. Ability to operate a variety of standard business machines, such as a computer and keyboard, typewriter, calculator, fax, and photocopier required.

9. Ability to maintain a high degree of confidentiality required.

10. Ability to read and interpret documents such as safety rules, employee policies and procedures, handbooks, and benefit information required.

11. Ability to write routine reports and correspondence required.

12. Ability to communicate effectively with employees at all levels of the organization required.

13. Ability to perform basic math calculations required.

14. Ability to take direction, provide feedback and actively participate as a team player required.
