Position Summary: The primary function of this position is to provide dental registration and front office services by interacting with patients and other providers. In addition, this position may provide assistance to the front registration/patient services department as needed.


Position responsibilities:


  • Mandatory 7:45am daily staff meeting.
  • Verifies dental eligibility of new patients seeking care at NTHS.
  • Opens and closes the dental front office according to protocol. Checks schedule for accuracy and posting it for the dental assistants and doctors’ review.
  • Answers and responds to all telephone calls with professionalism. Is responsible for scheduling new patients appropriately.
  • Greets patients and visitors in a professional manner. Is responsible for checking in dental patients and verifying or updating patient information in EDR (Electronic Dental Record) and RPMS.
  • Ensures that an authorized adult is accompanying any minor patient during visits for care.
  • Ensures patient information is correct and insurance information input is timely.
  • Scans and files documents and correspondence into the patients EDR accurately and in a timely manner.
  • Ensures that patient records are stored securely and handled in compliance with applicable federal, state, local and clinic policies.
  • Receives all mail, facsimiles and telephone messages and distributes to the appropriate staff.
  • Greets and receives patients, has patient complete patient information forms, insurance forms, and other papers as required.
  • Coordinates the appointment system including the making of appointments.
  • Monitor patient’s broken appointments and notifies the doctor of any trends or excessive cancelations.
  • Interviews patients to maintain and update the patient registration information in RPMS which includes demographic and third party payor information.
  • Scans required eligibility and identification documents into the patient’s chart via VistA Imaging.
  • Obtains signatures for the Patient Services Agreement.
  • Collects and scans third party payor cards. Contacts appropriate insurance carriers and verify third party coverage then enters information into RPMS.
  • Other duties as assigned.



Requirements

Essential skills and experience:

  • Knowledge of basic medical record science, dental terminology, pharmacology, and standard medical abbreviations.
  • Knowledge of grammar, spelling, punctuation, capitalization, alphabetizing in order to update patient information in the RPMS System.
  • Knowledge of the Privacy Act, Freedom of Information Act, HIPAA and Drug and Alcohol Record Laws/Regulations.
  • Ability to work in a multidisciplinary environment while being able to relate to people from diverse social and cultural backgrounds.
  • Knowledge of basic computer applications and use of standard office equipment.
  • Excellent interpersonal and communication skills.

Physical Demands: While performing duties of job, employee is occasionally required to stand; walk; sit; reach with hands and arms; talk and hear. Employee must occasionally lift and/ or move up to 25 pounds.

Work Environment: There is common exposure to contagious and infectious diseases. The work may include a certain amount of exposure to hostile and emotionally disturbed patients, families and visitors.
