General Position Summary & Responsibilities:  

As the Sr. Export Documentation Specialist (SEDS) you will provide guidance while supporting your peers. The SEDS will assist in educating and training of other team members facilitating their development to become more independent and improving the quality of their work. The SEDS will have an in-depth understanding of the overall job functions and the ability to lead while showing good judgement and decision making when needed.  The Sr. Export Documentation Specialist (SEDS) reports directly to the Sr. Export Documentation & Logistics Manager. The SEDS role is essential in facilitating the export of cargo according to procedures and Customs regulations while following strict internal compliance guidelines set by Radius, associated with the Metals Recycling Business (MRB) for export container activities.  The SEDS is expected to be proficient in all facets of containerized logistics.  The SEDS will be expected to follow the procedures on daily basis but will constantly adapt and evolve to market changes while developing their skills when needed. All SEDS’s will have an understanding that they are a key component, and the impact of their actions have in the sales environment.  Time management and accuracy is crucial to this position, the SEDS will work efficiently while maintaining a high level of accuracy and being organized. SEDS’s will be fully responsible for independently managing their daily workload and in addition will be assigned special projects and assignments when necessary. As a SEDS you will serve as primary point of contact and will assist the sales team, shipping facilities and the customers with issues concerning all aspects of the export shipments. The work performed by the SEDS will be independent from direct supervision, but a team approach will be required to assure communication amongst your peers. 

This position operates within somewhat flexible parameters.  The primary goal of this position is to achieve excellence in all facets of the position.  Providing the highest quality product safely, effectively and efficiently decreases accidents and errors and increase profits. 

 

Pay Range: $80,000 - $85,000/year

Essential Functions:  

  • Environmental and Health & Safety (H&S) 
    • Provides a safe environment for all employees, customers, and visitors.  
  • Anticorruption Responsibilities 
    • Responsible for anticorruption compliance as set forth in the Anticorruption Manual. Specific anticorruption accountabilities include: 
    • Supporting SSI sales personnel in the administration of logistic for export sales. 
    • Communicating upwards any suspected or actual violations of the Anticorruption Manual. 
  • Operational Performance & Best Business Practices 
    • Prepares shipment advice for AES filing for each shipment based on shipping instructions received from the customer. 
    • Conducts a preliminary audit of the sales files that are booked to ensure they include the necessary items required to ship; including but not limited to, signed contracts, deposits, and shipping instructions. 
    • Arranges bookings directly with steamship lines, NVOCC’s and freight forwarders based on requests submitted by area logistics specialist in each region.  
    • Communicates and coordinates with customers, shipping facilities, freight forwarders, steamship lines and inspection agencies. 
    • Responsible for the proper issuance of bills of lading and the release of the Bills of Lading. 
    • Prepares export documentation including but not limited to; invoices, packing lists, and certificates of origin as needed.  
    • Thoroughly examines BL’s and makes comparisons to the shipping instructions filed to ensure accuracy and preventing additional cost and shipping issues.   
    • Requests Original BL’s and / or telex releases as needed. 
    • Understands the seriousness of demurrage and detention cost and can identify situations that could potentially become problematic and takes corrective actions, accordingly, e.g., requests additional free time, shift containers to different bookings utilizing containers, etc. 
    • Audits freight invoices from lines and forwarders to assure we are being charged correctly. Once confirmed charges are correct a request is processed and submitted to AP for payment. 
    • Responsible for following up on final invoices, payments, and cargo releases. 
    • Tracks ETAs of cargo and confirms monies due have been collected per payment terms. 
    • Manages files to ensures all required documents are accounted for to maintain integrity and comply with documentation retention procedures. 
  • Inventory & Quality Control 
    • Applies for inspections as necessary.  
    • Creates updates and analyzes reports for others in the NF Sales group, to ensure timely responses to daily activities, with valid data, and to drive the process of timely order fulfillment. 
    • Ensures timely bookings, export documentation and payment of freight occurs. 
    • Maintains all active logs with required information to monitor and track shipments and shipment detail 
  • Special Projects 
    • Performs special projects or other duties as needed or assigned. 

 

Specific Other Responsibilities (regional, local, compliance, etc.):

Supports the Company’s Anticorruption Program through compliance with the Anticorruption Manual and all Anticorruption Controls. 

 

Internal Control Responsibilities: 

Supports the Company’s Internal Control process which includes understanding, communicating, and complying with defined internal controls as well as suggesting and making modifications to the policies, procedures, and controls to better support the business. 

Communicates upward problems in operations, noncompliance with the code of conduct, or other policy violations or illegal actions. 

 

Job Conditions:  

Standard office conditions, with little natural light.  This position requires overtime and periods irregular hours during periods of heavy workloads or to meet deadlines.  Pressure is exerted at times when meeting work deadlines and handling urgent situations.  Position will see overtime and odd hours due to the nature of the position and business. 

 

Physical Activities Required to Perform Essential Functions:  

Ability to: lift and carry up to 10 pounds occasionally; sit for extended periods of time, up to 6-8 hours per day; write by hand and keyboard for extended periods of time, up to 6-8 hours per day; assemble papers, paper punch, staple, file; apply sufficient force to open and close file drawers.  Ability to communicate by speech and hearing continuously.  Communication is primarily by phone, email and sometimes in person, with other departments within the Schnitzer Group.  Visual acuity needed for close detail work, preparing, and analyzing data figures, accounting, and computer use. 

 

Qualifications: 

  • 3 years of experience in container logistics and / or ocean carrier experience
  • Prior experience in the Metals Recycling Business preferred but not required
  • This position requires possession of a valid driver’s license and the ability to drive an automobile. 

 Skills:

  • Fluent in MS Office Suite
  • Computer competency; analytical skills; ability to work and cooperate with others to complete projects; strong communication skills. 
  • College level oral and written communication and reading comprehension skills; excellent organization skills; ability to learn quickly; disseminate information timely and accurately and to work under pressure. 
  • Good interpersonal skills to work in cooperation with others; ability to work alone and to make independent decisions; college level mathematical skills; ability to understand and carry out instructions furnished in written, oral, or diagrammatic form and to deal with problems involving several variables.
