People Manager

 

In a nutshell 

We are looking for a People Administrator to support the People Team in a generalist capacity. They will work closely with the People Manager to support colleagues at all levels across the business.


This is an excellent opportunity for someone who is keen to play a key role in shaping the Yonder People and Culture strategy. People are at the heart of everything we do, and it is important that the People Administrator brings the same ethos and energy to help us deliver our People proposition.

 

As is the case with all roles at Yonder, the People Administrator will be expected to contribute in whatever way they can to the success of the company and may be asked to undertake tasks that are not included below. This is a very important element of the role, and we expect the People Administrator to help and support across the wider Operations Teams (e.g. Finance, IT and Office Management). We believe in helping our colleagues when they need it, and the People Administrator can expect the same support in return. 

 

 

Key areas of responsibilities

Supporting the recruitment process, in terms of:

  • Liaising with recruiters to arrange briefing calls, candidate interviews, following up with interviews and providing timely feedback;
  • Working with hiring teams to create/refine job descriptions;
  • Being the first port of call for all recruitment-related queries;
  • Supporting the apprenticeship/intern recruitment process – posting roles on university job boards, filtering through CVs and shortlisting candidates;
  • Monitoring the “General Application” CVs that come through on our ATS, BambooHR;
  • Ensuring best-in-class candidate journey is consistently achieved removing all unconscious bias where possible (ensuring CVs are anonymised where possible, capturing any reasonable adjustments that may need to be made, having mixed gender interview panels etc).
  • Proactively playing a key role in our diversity, equality and inclusion policy and guidelines and ensure compliance by all those involved in the talent acquisition cycle.
  • Ensuring the candidate database is kept updated at all times;
  • Providing weekly recruitment activity reports to the People Manager;
  • Ensuring compliance with data protection requirements;
  • Retaining effective relationships with all key stakeholders;



 

Supporting the People Manager in terms of:

Excellent administration support for all People-related processes across Yonder, including:

  • Training coordination – setting up all internal training sessions, following up with feedback and sharing feedback reports with course leaders;
  • New joiner onboarding experience – sending out all offer packs, requesting IT set up, “buddy” assignment, updating and organising the welcome to Yonder handbook, setting up all new joiners on BambooHR, setting up compulsory GDPR training, setting up new joiner inductions and check-ins, sending mid-probation and end-of-probation reminder emails;
  • Offboarding experience – sending out leaver confirmation emails, arranging exit interviews, ensuring all leaver processes are completed in a timely manner;
  • Managing and updating our HRIS employee database and Staff Info Sheet;
  • Responding to and actioning benefit-related queries;
  • Responding to all holiday-related queries;
  • General correspondence;
  • Monitoring the online suggestion box;
  • Generating payroll-related documentation (e.g. contractual change letters) with ability to use mail merge function;
  • Checking the monthly payroll with the Payroll Manager;
  • Ensuring all documents are filed correctly and electronically;
  • Circulating fortnightly starters and leavers report;
  • Ensuring compliance with data protection requirements;
  • Supporting with ISO Audits and managing the annual GDPR quiz;
  • Assisting with bi-annual review cycle and goal-setting, including the usage of Culture Amp;
  • Assisting with ad-hoc projects (people proposition, culture strategy, wellbeing initiatives, DEI initiatives etc)
  • Being an active member of the DEI forum.

    The People Administrator must be adaptable and flexible to the needs of the business.

 

Key competencies

The ideal candidate must have:

  • A minimum of 1 year’s experience in an administrative role (should be able to demonstrate clear transferrable skills);
  • Excellent communication and interpersonal skills (written and verbal);
  • Excellent administrative skills;
  • Incredible attention to detail with proven experience in data entry;
  • A high level of accuracy and good time management skills;
  • Excellent prioritisation skills with an aptitude for working on a number of tasks at once;
  • An excellent can-do attitude and positive work ethic – hardworking and reliable;
  • Confidence to contribute their ideas and point of view in meetings;
  • The ability to work independently as well as being a team player;
  • A proactive approach – constantly looking to improve systems and processes and always looking at best practice;
  • Excellent problem-solving skills;
  • The ability to work to deadlines without detailed supervision;
  • Open to giving and receiving feedback – both positive and constructive, consistently striving for excellence;
  • A keenness to learn and to keep up to date with HR regulations and best practice;
  • Technical ability to use our ATS and HRIS, BambooHR and CultureAmp; and
  • Excellent Microsoft Office skills (Word, Excel, PowerPoint and Outlook).
