JOB TITLE: Receptionist


JOB TYPE: Contract Part-Time Non-Exempt Employee


POSITION OVERVIEW 

The Receptionist position is hourly (non-exempt), with a varying schedule, and most hours occurring during weekday afternoons and evenings, and on weekends. Typical work weeks will vary between 20 and 29 hours. The receptionist greets visitors, registers them for security purposes and directs them to their destination. Answers and transfers telephone calls using multiple-line equipment. Represents EPACENTER to callers and visitors in a friendly, professional manner. Performs clerical duties. Provides assistance to programs, facility management and maintenance staff. 


RESPONSIBILITIES: 

Reporting to the Center Manager, responsibilities include (but are not limited to) the following:

  • Greet visitors, check them in through security, and direct them to their destination
  • Provide visitors with general information about EPACENTER’s programs, services, and the facility.
  • Ensure that adults on the premise are authorized to be on campus
  • Answer phones, transfer calls and take messages as warranted.
  • Respond to basic email inquiries.
  • Provide all visitors and callers with warm, friendly and professional interactions.
  • Coordinate the provision of security and facility maintenance services.
  • Help with the distribution of snacks and lunches
  • Ensure adherence to fire safety and emergency protocols
  • Other duties as assigned

 

GENERAL

  • Attend team meetings, and participate in planning and design sessions for programs
  • Support fundraising outreach, grant proposal writing, communications and other activities related to program development and operational support for the organization 
  • Represent the organization at events and community gatherings.
  • Maintain punctual and regular and reliable attendance.
  • Perform other duties as directed, developed or assigned.


EDUCATIONAL REQUIREMENTS 

High school diploma or GED required. Higher education, including an Associate’s or Bachelor’s degree is preferred.


PROFESSIONAL
QUALIFICATIONS

This position requires a motivated professional with broad-based arts management and art production experience and youth development knowledge, and someone who can balance strategic thinking with day-to-day implementation. The person we are seeking will bring:

  • At least 2 years of professional experience in reception, customer service, office management or similar work.
  • Computer fluency in a Mac work environment and comfort with MS Office and Google applications.
  • Previous experience working in the nonprofit sector, specifically in the arts, arts education, community development or youth development fields is preferred.
  • A passion for all art forms, and an understanding of how the arts and creativity can transform lives and contribute to youth economic and social empowerment.
  • Excellent organizational and planning skills.
  • Excellent communication and interpersonal skills with a particular emphasis on communicating with young people, families, arts faculty, educators within a diverse community.
  • Cultural competency and experience working effectively in communities of color. 
  • Knowledge of best practices and theory in youth development.
  • Demonstrated experience translating vision and strategic organizational goals into programmatic components.
  • An ability to handle multiple priorities and projects concurrently.
  • A willingness to work in a start-up environment.
  •  A degree in a related field, and/or equivalent experience and education.
  • Previous experience working in the nonprofit sector in the arts, arts education, or creative youth development fields.
  • Computer fluency in a Mac work environment and comfort with MS Office and Google applications.

 

DESIRED QUALIFICATIONS 

  • Demonstrated interest in the arts, arts education, and social justice
  • Bilingual in English and Spanish preferred. Fluency in English and at least conversational-level skills in Spanish is required.
  • Knowledge of and experience working in the East Palo Alto and Belle Haven communities is preferred
  • Exceptional work ethic with ability to work independently and act proactively.
  • Professional experience in creative youth development and arts education
  • Knowledge of and experience working in the East Palo Alto and Belle Haven communities

PHYSICAL DEMANDS

  • Stand and walk or sit alternatively depending on specific needs of the day.  Estimates 20% of time is spent on feet and 80% sitting at a desk.
  • Have occasional need to perform the following physical activities: bending/stooping/squatting, climbing stairs, pushing, pulling, twisting, lifting and reaching above shoulders. 
  • Have occasional need to perform standing and walking activities.
  • Constant need to perform the following physical activities: writing/typing, grasping/turning, finger dexterity.
  • Lifting/carrying up to 10 pounds frequently and 50 lbs occasionally.  
  • Vision requirements:  constant need to complete forms, read reports, view computer screens. Frequent need to see small details.  Frequent need to see things clearly beyond arm's reach.
  • Hearing requirements:  constant need to communicate over telephone and in person.
