About the Position

Meridian University seeks a skilled Automation Specialist to architect and implement cross-departmental automation solutions that streamline operations and enhance organizational efficiency. This role combines strategic automation design with hands-on implementation, requiring someone who can translate complex business processes into elegant technical solutions while providing broader IT support to the organization.

The ideal candidate will drive automation initiatives from discovery through deployment, working closely with stakeholders across all departments to identify opportunities, design workflows, and deliver measurable improvements to operational efficiency. This position offers the opportunity to shape the technological infrastructure of a transformative educational institution while directly impacting the experience of students, faculty, and staff.

Classification: Full Time
Base Working Hours: Monday-Friday, 8:45am-5:15pm Pacific Time
Location: On site at Meridian University's Los Angeles Center in Santa Monica, CA
This position is not eligible for hybrid or remote work.

Responsibilities

  • Design, build, and maintain automated workflows across departments using Zapier, Salesforce Flow, and other automation platforms.
  • Conduct workflow analysis sessions with stakeholders to identify automation opportunities and translate business requirements into technical specifications.
  • Develop and maintain documentation for all automation processes, including technical specifications, user guides, and troubleshooting procedures.
  • Monitor automation performance, troubleshoot failures, and implement optimizations to ensure reliability and efficiency.
  • Provide tier 2/3 IT support for Microsoft 365 environment and other enterprise systems as needed.
  • Establish automation best practices and governance frameworks to ensure scalability and maintainability.
  • Train team members on automated processes and provide ongoing support for automation-related queries.
  • Collaborate with IT Services Team on infrastructure projects, system integrations, and technology initiatives.
  • Evaluate and recommend new automation tools and technologies to expand organizational capabilities.
  • Manage automation platform licenses, user access, and security configurations.

Required Qualifications

  • Bachelor's degree or equivalent professional experience in technology, business systems, or related field.
  • Demonstrated expertise building complex multi-step automations in Zapier or similar iPaaS platforms.
  • Experience with API integrations, webhooks, and data transformation between disparate systems.
  • Strong understanding of business process optimization and workflow design principles.
  • Ability to translate non-technical requirements into functional automation solutions.
  • Excellent troubleshooting skills with systematic approach to problem resolution.
  • Experience with data mapping, JSON/XML manipulation, and basic scripting (JavaScript, Python, or similar).
  • Strong written documentation skills and ability to create clear technical specifications.

Preferred Qualifications

  • Experience with Salesforce Flow, Process Builder, or other Salesforce automation tools.
  • Microsoft 365 administration experience (Azure AD, Exchange Online, SharePoint, Teams).
  • Familiarity with SQL databases and query optimization.
  • Experience with additional automation platforms (Make, Workato, Power Automate, n8n).
  • Understanding of REST/SOAP APIs and authentication protocols (OAuth, API keys, JWT).
  • Experience in higher education or non-profit environments.
  • Project management experience with automation initiatives.
  • Knowledge of data privacy regulations and security best practices.
  • Experience with version control systems and CI/CD pipelines.

Application and Onboarding Process

Phase 1: Interviews

  1. Select applicants are invited to a 15-minute, video-enabled, initial interview.
  2. Top candidates are invited to a 30-minute second interview either in person at one of our locations or by video conference depending upon the location and scope of the position.
  3. Final candidate(s) are invited to a stage of mutual diligence in which both the candidate and the University verify there is a mutual good fit. Candidates will have the opportunity to review various structure and culture materials to gain a sense of how Meridian operates, and this stage may also include assessments tailored to the job requirements.

Phase 2: Project-Based Contract

  1. After the mutual diligence stage, if there is a mutual interest, candidates are offered the opportunity to participate in a paid multi-week contract where they will contribute actual work.
  2. After a successful set of project deliverables, candidates are extended a written full-time onsite offer for their review.

Phase 3: Onboarding

  1. On their first day, full-time team members are assigned an onboarding manager and are given access to a role-specific checklist which acts a guide through Meridian's four-week onboarding process.
  2. In their first week, team members onboard into technical and facilities systems and otherwise learn how to engage as a Meridian team member. They also begin 'process management' work and deliver real results.
  3. Over their second, third, and fourth weeks, team members complete the onboarding process.
