This position will support our business in the Southern Colorado (Colorado Springs / Pueblo) area.  


Position Summary: 

The Administrative Operations Assistant is responsible for supporting the Southern Colorado (Colorado Springs / Pueblo) region of PPCH in all administrative support tasks.      


Essential Duties: 

  1. Performs office, outreach, and clerical tasks the organization. 
    • Improves and organizes office operations and procedures. 
    • Oversees maintenance of building and office equipment, which involves partnering with building management and office supply vendors. 
    • Manages incoming and outgoing mail, calls and faxes. 
    • Responsible for the management and tracking of PPCH property that is distributed to employees. 
    • Provides outreach in the community, including touch base and contact with community members, attending community fairs and events, and meetings.
  2. Contributes to a culture where staff and customers are respected, valued. and encouraged. 
    • Greets and assists staff, customers, and other visitors in-person, on-line, and by phone. 
    • Continually models and encourages a culture of inclusiveness, equity, and diversity.  
    • Maintains strong relationships with PPCH program leadership and staff, customers, vendors, and contractors who effect the operations of PPCH.  
    • Collaborates with programs and departments to carry out PPCH goals and objectives.
    • Demonstrates excellent customer service and respect for others including individuals in services, staff, guardians and loved ones, and others.
  3.  Complies with PPCH policies, and the rules and regulations of State and Federal oversight agencies. 
    • Completes required trainings, including annual refreshers, according to established timelines. 
    • Ensures confidentiality and security of information. 
    • Maintains knowledge and understanding of PPCH and other regulating agencies’ policies, procedures, rules, regulations, and guidelines as related to position.
    • Assists with audits as requested. 

      Other Duties:

  1. May assist other departments or supervisors.
  2. Assists with marketing tasks, as requested.    
  3. Resets passwords, as needed. 
  4. Other duties as assigned. 


Qualifications:

Education and Training: 

  • High school diploma or equivalent required. 

Experience: 

  • Two years’ administrative experience in a professional office environment highly preferred.
  • Experience with the Colorado Developmental Disabilities system preferred. 

Knowledge, Skills, and Abilities: 

  • Advanced written and verbal communication skills. 
  • Excellent Microsoft Office skills, including Word, Excel, Access, PowerPoint, and Outlook. 
  • Excellent customer service skills. 
  • Excellent organizational and time management skills.
  • Ability to maintain confidentiality.  
  • Ability to work independently, including holding oneself accountable to deadlines.   
  • Effective listening skills, even when non-traditional communication is used. 
  • Skill and ability to constructively receive and provide feedback. 
  • Ability to work with changing priorities and demands. 
  • Ability and willingness to complete required trainings and learn PPCH operations and systems. 
  • Valid Colorado driver’s license, and ability to meet PPCH’s driving requirements. 

 

Physical Requirements and Working Conditions:

  • Work is primarily performed in a typical office setting. 
  • Prolonged periods of using a computer, scanner, copier, and other office equipment. 
  • Occasional lifting and carrying of approximately 15 lbs. 
  • Driving throughout the Colorado Springs and/or Pueblo Metro areas required on an occasional basis.
