Job Summary

 

Ensures the program complies with Head Start Performance Standards regarding Eligibility, Recruitment, Selection, Enrollment and Attendance, DHHS regulations, and MDE regulations. The ERSEA Specialist Collects, organizes, enters data, and prepares statistical reports. Also performs a variety of clerical tasks associated with the receipt, preparation, processing, and control of program records, and in-kind match. The rate of pay is $18.34 per hour

The National Office of Head Start mandates that staff be fully vaccinated or have an approved vaccine exemption request approved and on file prior to hire date.

 

Qualifications

 

Education:

 

High school diploma or GED.

 

Experience:

 

Minimum of one year of general clerical work experience including using a variety of office equipment and computers.

 

Position Duties/Responsibilities

 

Assist and supports families in understanding and completing the application process.

 

Monitors all incoming child applications to ensure the appropriate coordination with all school districts within the four counties i.e. ISD, RESA, etc.

 

Completes application, changes application status and records all information accurately as received and in a timely manner.

 

Verifies income, age, and eligibility qualifications of children and families.

 

Completes intake/enrollment process with families, including getting enrollment documentation signed.

 

Uses approved Selection Criteria to prioritize children.

 

Supports to meet federal requirements for full funded enrollment for HS and EHS and ensures openings are filled within 30 days.

Provides assistance and information which assists in recruitment and enrollment.

 

Records individual volunteer time and space and materials donated to the program for the purpose of documenting in-kind match.

 

Assures the accuracy of data prior to entry by evaluating information submitted on forms and other paperwork.

 

Ensures confidentiality, proper authorization, and security of all files.

 

Ensures that all information in the Records Department is properly recorded and dispersed or filed.

 

Provides updated class lists and health information if needed, for administrative reference.

 

Monitors child's individual attendance in computer for program purposes.

 

Cooperates with local school districts by providing information which will assist in the transition of children from CACS Head Start and Early Childhood Programs to the child's next school.

 

Completes and submits all timesheets, reports and other data requests in a timely and accurate manner.

 

Assists ERSEA Manager with PIR data and reporting.

 

Assist with other duties as defined and/or requested by an Administrator or Supervisor when additional work is necessary to fulfill the obligations of the program.



Duties/Responsibilities of all Head Start Staff

 

Follow all Head Start Performance Standards, Michigan Child Care Licensing Regulations, and all other federal, state, and local regulations.

 

Adhere to CACS Personnel Policies and Procedures and Mission Statement.

 

Communicate clearly and accurately when writing and speaking. Maintain professional confidentiality.

 

Share information with the administrative team, supervisor, and/or support staff regarding areas of success and/or concern.

 

Participate in meetings to provide input regarding special and to assist in developing plans to meet those needs.

 

Attend all required meetings, conferences, trainings, etc.

 

Participate in Program Quality Assurance and Self-Assessment efforts.

 

Work openly and cooperatively in a team effort approach. Work at any site with any staff. Contribute ideas and efforts towards common goals. Help build and maintain positive attitude, trust, and team spirit.

 

Personal appearance must be neat and appropriate.

 

Physical Requirements

Properly stoop, bend, lift, climb stairs, and expend moderate physical exertion.

Always interact with children in an appropriate and safe manner.
