SUMMARY

Greenhill School will host the Independent Schools Association of the Southwest (ISAS) Arts Festival in April 2027, welcoming more than 3,000 students and faculty from across the region. We are seeking an experienced Festival Coordinator to lead the planning and execution of this large-scale event.


This is a temporary, part-time position beginning in Fall 2025, with responsibilities increasing as the festival approaches. The ideal candidate will bring strong project management skills, creativity, and the ability to work collaboratively across departments and schools. This position is not eligible for Greenhill benefits. 

 

TIMELINE & COMMITMENT

  • Sept 2025 – Aug 2026: Remote, part-time (5–10 hours/month)
  • Sept 2026 – Feb 2027: Hybrid, 20–25 hours/week
  • Mar – Apr 2027: Full-time, onsite during pre-Festival and Festival weeks
  • May 2027: Festival wrap-up, reporting, and archive transition.

RESPONSIBILITIES

  • Event Leadership – Manage the overall Festival plan, budget, and schedule in collaboration with Greenhill’s Head of Arts and the Festival Planning Committee.
  • School Liaison – Serve as the primary point of contact for participating schools; oversee registration and all communications.
  • Vendors & Logistics – Secure and manage contracts for catering, rentals, transportation, and technical production.
  • Adjudicators & Workshops – Recruit, contract, and support professional adjudicators and workshop leaders.
  • Volunteers – Partner with the Parent Association to recruit and schedule parent, faculty, and student volunteers.
  • Hospitality & Operations – Oversee faculty hospitality, concessions, medical services, security, and traffic flow.
  • Festival Office – Lead the central hub during the Festival for communications and problem-solving.
  • Wrap-Up – Manage budget reconciliation, Festival debrief, final reporting, and transition of materials to ISAS.

Requirements

QUALIFICATIONS

The ideal candidate will:

  • Have experience with large-scale event planning (experience in arts or education settings preferred).
  • Demonstrate strong organizational, budgeting, and project management skills.
  • Be an excellent communicator, comfortable working with a wide range of stakeholders.
  • Be proficient with technology including Microsoft Office, Google Workspace, and event platforms.
  • Be flexible and available for evening/weekend work during peak Festival periods.
