Summary:

The Medical Center Midland Executive Assistant is responsible for all administrative support to the President of the Medical Center Midland and additional leaders as assigned. Serves as the primary liaison for the president with senior-level management, employees, medical staff, external regulatory agencies, internal and external constituencies, and Board members.

Responsibilities:

Essential Duties and Responsibilities:

(25%) * Proactively anticipates, prioritizes, and manages multiple projects in support of the Medical Center Midland President and senior leaders. Works collaboratively with senior management, executive assistants, and other professionals to accomplish specific tasks in support of Medical Center Midland and MyMichigan Health organizational, departmental, and administrative team goals.

(25%) * Maintains complex calendars for the Medical Center Midland President and senior leaders, including proactive management of future events and their requirements, meeting planning and scheduling, and arranging travel as directed.

(25%) * Coordinates materials for Board meetings as well as other senior leadership staff committees. Compile, prepare, and disseminate agenda, correspondence, notices, Meeting Books, attend meetings, and prepare minutes. Author and draft professional documents, presentations, and reports. Analyze, prepare, draft, edit, and finalize information in a clear and concise format.

(25%) * Responsible for the coordination and implementation of Medical Center specific projects and initiatives, e.g., hiring and onboarding senior-level and other administrative staff positions, Administrator on Call Schedule, Joint Commission readiness, MVP of the Month and Year and other award events, Managers and Directors meetings, outside activities.

OTHER DUTIES AND RESPONSIBILITIES:

Provides confidential and professional administrative support to executives and senior management and assists other administrative staff and management, as needed.

Exercises professional judgment and confidentiality in the completion of day-to-day tasks to assure smooth operation of the Administrative Office Suite.

Required Education:

Bachelor’s degree in health administration, business administration, or related field required.

EXPERIENCE, TRAINING, AND SKILLS:

Knowledge of office policies, practices, and procedures as normally acquired through three to five years’ experience working in an administrative professional capacity.

Advanced knowledge of Microsoft® Word, PowerPoint, Excel, and other software packages as needed.

Interpersonal and written skills needed to communicate successfully and effectively with individuals and groups and interact with people at all organizational levels to communicate ideas and concepts in a clear and understandable manner.
PHYSICAL/MENTAL REQUIREMENTS AND TYPICAL WORKING CONDITIONS:
Must be able to perform the functions of the job as outlined in the job description.
Ability to handle multiple tasks, get along well with others, work independently and proactively.
Position requires frequent and regular public contact, decision-making and exposure to stressful situations, including those involving public contact.
Overall vision is necessary with or without assisted device(s) including reading and close-up work.
Overall hearing and speech in person and on the phone are necessary.
Oral and written communication skills are vital to this position.
Overall dexterity is required including handling, reaching, grasping, fingering and feeling. May require repetition of these movements on a regular and frequent basis.
Able to move freely about department or facility with or without an assisted device. Frequently required to sit/stand for long periods of time. May require frequent postural changes such as stooping, kneeling or crouching.
Ability to achieve regular and predictable attendance and to stay awake during work hours.
Able to wear personal protective equipment that includes latex materials or appropriate substitute if required for your position.
Some exposure to blood borne pathogens and other potentially infectious material. Must follow MyMichigan Health blood borne pathogen and TB testing as required.
Must be able to occasionally (0-33% of the workday) lift or carry 0-10 lbs.
Physical Demand Level: Sedentary.
