ROLE OVERVIEW

The Sample Receiving & Hanging Associate is responsible for efficient and accurate receiving, inspecting, labeling, and hanging of product samples, also supports cross-functional teams by sorting, tagging, and preparing merchandise for use in other departments. This role ensures all incoming samples are handled according to internal SOPs to support the product lifecycle process from development through final approval. Attention to detail, organization, and timely processing are essential in this role.  

Receiving & Inspection

  • Monitor the drop-off and TOP rack areas regularly (every 20 minutes, if possible) to collect incoming samples.
  • Flag and reject samples with discrepancies (e.g., mismatched PO tags or incorrect sizes).
  • Separate PD, women’s, Men’s and kids' samples.

Sorting, Tagging & Labeling

  • Sort incoming merchandise based on category, gender, and intended use.
  • Apply appropriate web labels (Studio/Library) with accuracy.
  • Remove outdated stickers or incorrect labels from hangers and bags.
  • Tag and label items properly to allow easy use by other departments (e.g., Studio, Library, E-commerce, Photography).
  • Bag and re-bag samples as required to keep them clean, organized, and trackable.

Hanging & Organization

  • Hang samples by size, category, and color group, maintaining consistent organization.
  • Keep sample racks, tables, and surrounding areas clean and clutter-free.
  • Coordinate samples into designated racks once areas are full.
  • Properly manage polybag handling to prevent label damage.

Accessory Handling

  • Sort and place accessories in the appropriate storage area (not receiving bins).
  • Confirm correct gender categorization before submission.
  • Follow vendor requirements (e.g., two pieces per accessory style).

Special Categories

  • Follow specific instructions for lingerie, denim, bottoms, and special sizing (e.g., 1X, Size 3, etc.).
  • Ensure correct labeling and storage practices by category.

Tracking & Follow-Up

  • Ensure all samples are scanned, tracked, and recorded in the system accurately.
  • Maintain separation of samples by date and label racks accordingly.
  • Communicate with supervisors when receiving issues or uncertainties arise.

General Support Duties

  • Provide support across various departments by performing tasks as required, including but not limited to sorting, organizing, preparing merchandise, and maintaining a clean and safe work environment.
  • Adapt to changing priorities and assist with any operational needs to ensure smooth workflow and departmental efficiency.

Qualifications & Skills

  • High school diploma or equivalent preferred.
  • 1+ year of experience in receiving, inventory, or a sample-handling environment.
  • Basic understanding of garment categories, sizes, and labeling requirements.
  • Strong attention to detail and organizational skills.
  • Ability to use warehouse software (e.g., NetSuite) or willingness to learn.
  • Ability to work in a fast-paced, deadline-driven environment.

Working Conditions

  • Standing and walking for extended periods.
  • Lifting packages up to 25 lbs.
  • Working in a warehouse or TOP sample room environment with garments and accessories.
