The Senior Exhibits Services Coordinator is responsible for overseeing contract and payment processing in Salesforce, including creating payment links, managing collections, and updating system information. This role involves entering labor tickets, auditing exhibit revenue, and supporting pre- and post-show billing. They ensure system accuracy, communicate with internal teams, and develop SOPs for departmental use. Additionally, the Senior Exhibits Services Coordinator provides Salesforce training, creates reports, and assists with month-end processes.

Key Contributions of the Role

  • Oversee contract processing in Salesforce, including creating payment links, confirmation, follow-ups, processing payments, collections, and clean-up of which the IT and Accounting departments will follow up.
  • Creates 2/3/4 codes in Salesforce and the company’s OLP.
  • Audit the Exhibits revenue in Salesforce for the pre- and post-show.
  • Process payments for the pre- and post-show and for onsite support, as needed.
  • Assist with month-end processes, including balance dues, contract audits, and revenue reports.
  • Create and manage departmental reports to include contract reconciliation, collections, booth checks, job costing, etc.
  • Conduct Salesforce support and system training for the Exhibits team.
  • Document and track the 3-code team leader reports, post-show notes, and job costing.
  • Conduct onsite data processing to include labor, rigging, and additional billing.
  • Communicate with internal teams regarding any system issues that need attention.
  • Create standard operating procedures (SOPs) for departmental use of Salesforce and communicate as needed.

Requirements

  • Minimum 2 years of experience in field operations of trade events. 
  • Experience in custom exhibit booth design and production.
  • Highly proficient in Microsoft Office Suite, including Word and Excel, and highly proficient in Salesforce.
  • Excellent verbal and written communication skills.
  • Detail-oriented with the ability to organize tasks and meet deadlines.
  • Proficient in working within a team and independently.
  • Ability to work a flexible schedule with occasional extended hours and weekend work.
  • Bachelor’s degree in related field; or relevant experience may be substituted for formal education.
