Job Location:
This role will be 100% onsite in Manhattan, KS.
Clearance:
Must be currently authorized to work in the United States on a full-time basis and have the ability to obtain a Public Trust Clearance.
Job Description:
In this position as an Administrative Assistant supporting a federal agency, you will play a central role in coordinating administrative, financial, and personnel-related activities. You will be responsible for managing sensitive information, supporting operational efficiency, and ensuring compliance with federal procedures. This role requires strong organizational skills, attention to detail, and the ability to provide reliable support to both staff and leadership. In this position, you will also:
- Compile and review financial data to support budget planning and operational expenses.
- Prepare documentation for personnel actions, reconcile financial records, and ensure accuracy across systems.
- Review obligating documents such as purchase orders, travel vouchers, and contracts, making necessary corrections to accounting codes.
- Support performance management processes by coordinating quarterly reviews and ensuring all mandatory requirements are met.
- Track employee training, maintain records, and provide guidance on policies and procedures related to professional development.
- Monitor personnel security requirements, including background investigations and re-investigation requests.
- Ensure IT equipment remains functional, updated, and compliant with security standards for access-controlled areas.
- Prepare reports, develop business plans, and provide advisory support to management officials on administrative matters.
- Monitor material transfer agreements to ensure compliance with regulatory standards.
- Contribute to the development of solutions that improve administrative efficiency and support mission needs.
Required Skills:
- Bachelor’s degree in Accounting, Finance, Business, or a related field.
- 2+ years of experience providing administrative support to federal agencies, including HR documentation processing, federal budgeting, financial reconciliation, and performance management coordination.
- 2+ years preparing and managing travel requests, supporting asset management and inventory systems, and preparing status reports for the Contracting Officer’s Representative (COR).
- 2+ years analyzing operational trends, forecasting needs, maintaining financial accuracy, and handling confidential information with discretion, supported by excellent written and verbal communication skills.
- Ability to meet all federal conditions of employment.
Desired Skills:
- Strong understanding of federal human resource processes, including documentation preparation, personnel actions, and compliance with federal guidelines.
- Familiarity with federal budgeting practices, financial reconciliation processes, and the ability to support accurate reporting and audits.
- Proficiency in preparing and managing travel requests, as well as supporting federal asset management and inventory tracking systems.
- Excellent written and verbal communication skills, high attention to detail, and the ability to handle sensitive or confidential information with discretion.
At Blake Willson Group, we believe in transparency and fairness in compensation practices. For this position, we offer a competitive salary range of $50,000 to $70,000 in the United States. Your individual salary within this range will be determined by various factors, including but not limited to your education, experience, skills, and geographic location.
