Personal Assistant / Administrator

35 hours per week (flexible working arrangements)

The role 

 

As a Personal Assistant, you will provide project, PA and administrative support to two Directors – People & Change Director (HR team) and Commercial & Marketing Director (Marcomms team) along with broader support for the directorates as required.

 

This is an important front-line support role and you will need to demonstrate proficiency in delivering all the key accountabilities as well as a general awareness of the work of the Directorates. You will have an opportunity to take your own initiative, operate proactively and take autonomous decisions.

 

As a PA, you will communicate with many senior stakeholders both internally and externally. It is vital to be able to work collaboratively and effectively as part of a team to ensure the smooth running of the departments.

 

 

What you’ll be doing 

 

  • Providing a full secretarial and administrative service to the Directors along with broader admin support for the directorates as required.
  • Planning and arranging a busy schedule of internal and external meetings and away days to agreed timescales for both Directors. Prior to the meetings, prepare and distribute agendas and supporting documentation, book venues, set up conference call dial-in arrangements, arrange refreshments etc. and provide additional administrative support as required.
  • Arranging and coordinating regular UK and international travel and accommodation.
  • Processing invoices, ensuring accurate coding and authorisations for both teams (HR & Marcomms directorates)
  • Providing cover (sickness and holidays) PA support for other Directors as needed.
  • Supporting the teams in the coordination and distribution of appropriate meeting papers and actions, and quarterly CIPD Board and Audit Committee papers, liaising with the CEO, other Directors and Company Secretary regarding submissions and accurate version control.
  • Support with various administrative tasks across the departments.

 

What you’ll need to be successful 

 

  • Previous PA experience and administrative skills and experience
  • Good interpersonal skills and an excellent telephone manner  
  • Strong organisational skills and attention to details
  • Ability to work to tight deadlines and take initiative
  • Knowledge and experience of the full MS Office suite including how to prepare PowerPoint presentations and excel spreadsheets
  • Good business awareness is required to understand the context of meetings, actions,  minutes and reports 
  • Tech-savvy with an innovative approach, utilising technology solutions to perform administrative tasks efficiently and effectively.
