About the Role

Looking to grow your skills in a varied and rewarding role? We’re on the hunt for a Technology Services Coordinator to join our team on a 12-month maternity leave contract. No two days are the same in this role – you’ll be supporting our technology services by coordinating machine onboarding, managing invoicing and reporting, and providing hands-on support to both internal teams and customers.

In this role, you will:

  • Prepare quotes and proformas for customer subscriptions.
  • Manage monthly invoicing including renewals, payment follow-ups, and credit queries.
  • Conduct monthly audits of machine subscriptions, prepare reports, and process purchase orders.
  • Coordinate HDAdvantage onboarding, including enrolling machines in Caterpillar systems, setting up subscriptions, and maintaining customer contact details.
  • Monitor shared inboxes, action customer and internal requests, and manage rental machine subscriptions.
  • Maintain key reporting sheets, including deferrals and On-water machines.
  • Support Connectivity Specialists with parts orders and general coordination.
  • Arrange travel, accommodation, uniforms, catering, and other purchase orders.
  • Monitor and improve Power Automate flows to streamline processes.
  • Provide general administrative support, including digital authorisations, CCID setup, and regular email management.

About You

  • Strong attention to detail and highly organised, with the ability to manage multiple tasks at once
  • Confident working with systems, databases, and Microsoft Excel (pivot tables and reporting)
  • Comfortable managing invoicing processes, purchase orders, and general administration tasks
  • Strong communication skills to liaise with internal teams, customers, and external partners
  • Proactive problem-solver who can work independently and take initiative
  • Flexible and adaptable, with a willingness to support a wide variety of tasks
  • Previous experience in administration, coordination, or finance support roles (desirable but not essential)
