Job Title: Grants and Administrative Coordinator
Starting Annual Salary: $49,600 per year
Location: Ogden, UT
Schedule: Full-time, Mon-Fri, occasional Saturdays, between 8:00 am-7:00 pm

General Description:
The Grants and Administrative Coordinator provides vital support to the Chief Executive Officer (CEO) by managing a range of administrative and clerical duties to ensure the smooth operation of executive functions. This role also plays a key part in advancing the organization's funding efforts by researching grant opportunities, assisting with writing and editing grant proposals, and tracking progress toward grant objectives and deliverables. Additionally, the Coordinator will be responsible for preparing materials for board meetings, keeping meeting minutes, managing the CEO's calendar, and ensuring timely communication and follow-up on executive priorities. The ideal candidate is highly organized, detail-oriented, an excellent communicator, and capable of balancing multiple responsibilities in a fast-paced, mission-driven environment.
Responsibilities:
- Works with CEO and senior team to identify grant opportunities that align with organizational priorities
- Assists in preparing grant application packages for successful submission and progress reporting
- Organizes and tracks partnership agreements including MOUs, MOAs, and educational affiliation agreements, as directed by CEO
- Accurately captures meeting minutes for the CEO and distributes to appropriate groups/staff
- Coordinates clinical rotation requests from approved educational programs
- Coordinates board packet preparation for monthly and board committee meetings
- Manages letters of support to and from Midtown, as directed by CEO
- Assists with clinician pre-hire processes
- Supports special projects and events, as directed by CEO, for example the Midtown golf tournament, BLAST, the Teddy Bear Den, senior leadership retreat, and the Little Library
Minimum Qualifications: Bachelor's Degree in Communications, Health Care Administration, or related field, may substitute formal education for 3 years of experience in similar or related role, experience with grant writing or technical writing, proficient in Excel, Microsoft Teams tools including Share Point, One Drive, etc.
Other Skills:
Strong organizational skills and attention to detail, excellent written and verbal communication skills, database management skills, exceptional customer service skills. Proficient computer skills for tracking systems and spreadsheets.
