Position Overview
The Office Administrator will work with various departments and teams to ensure organization, execution, and upkeep of essential office functions. The ideal candidate is familiar with date entry, filing, and computer systems and has a thorough understanding of business logistics.
Key Responsibilities
- Filing
- Special projects
- Data entry
- Scanning
- Ordering and keeping up to date inventory of office and kitchen supplies
- Planning, ordering, and presenting planned employee lunches and functions
- Compliance tracking and filing crew production and timesheets to job folders
- Coding, distribution of, and filing for invoices
- Process and maintain expense reports for select employees
- Assist with answering phone calls, greeting and direction or guests, mail receipt and distribution
- Ordering and invoicing of uniforms
- Continually tracking and updating contact information (including phone numbers, emails, and addresses) for employees to update with HR
- Process phone accounts, setup, and repairs
- Oil Tickets and logs
- BOL's and logs
- WEX accounts
- Additional duties and responsibilities as assigned
Qualifications
- 1+ year experience
- Associate's Degree or equivalent training completed
- Must be organized with a detail-oriented mindset.
- Must be positive, friendly and professional.
- Ability to work well with others in a group or one-on-one setting.
- Must demonstrate professional communication in reaching out to employees and managers for needed documents.
- Willingness to take on additional tasks and responsibilities as they arise.
- Exhibit excellent time management skills and ability to prioritize various tasks and complete them in a timely manner.
- Able to perform duties independently.
- Promote a team approach and maintain dialogue with all employees to exchange information and gather ideas.
- Collaborate with any project teams on other special initiatives, as required.

Working Conditions
- Work will be performed in office setting- must be in Austin area.
- Full time, hourly. May require availability for overtime hours.
- Must comply with the company's drug and alcohol testing requirements.
- Requires periodic participation and attendance at company events and meetings.
