Summary


The Facilities Operations Specialist is responsible for maintaining the company's asset inventories, FF&E, and materials purchasing for the Facilities Department. This position is the primary support of Elica’s computerized asset inventory control systems. Will lead audits and cycle counts as needed as part of asset management.  As part of a team, this position will monitor work orders and project logs for support and use of company-wide asset deployment.

Essential Job Functions 

  • Support the accuracy of Elica’s asset inventories and equipment life cycles by editing, creating, and updating companies company's controlled asset equipment inventories. 
  • Working with the Facilities Director to set up, refine, and develop the company's asset program.
  • As part of a team, this position will help monitor and project material availability on large-scale projects.
  • Help to schedule and maintain facility compliance, such as safety programs, fire drills, inspections, and safety audits.
  • Work with the Facilities Director, Assistant Facilities Manager, and Purchasing Manager on the acquisition of new and replacement FF&E and materials as needed to support Facilities operations. 
  • As part of a team, help ensure all company sites follow security protocols and safe practices as required for HRSA and OSHA compliance.
  • Occasionally unload, sort, stock, merchandise parts and and supply orders as needed.
  • Occasionally act as back up for daily pickup and delivery of all company mail and package deliveries in a timely and safe manner, using company and/or personal vehicle. 
  • Support Facilities Maintenance operations by maintaining warehouse distribution and mail center operations, ordering tools, inventories, and products to meet department needs. 
  • Upkeep tool asset inventories and machine maintenance life cycles for all Elica locations.  
  • Help develop new procedures and processes, improving job function as part of the departmental growth.
  • Coordinate with Maintenance Technician for the repair or replacement of broken office equipment using the company work order program, to include coordination of outside repair vendors. 
  • On occasion, assist the facilities maintenance team with larger projects as needed.
  • Verify, review, and reconcile documents and reports regarding inventory when required.
  • Update and maintain department tracking logs using Excel. Sheets, Word, and/or other electronic software as needed.
  • Other duties as assigned. 

Requirements

Qualifications, Experience, and Essential Skills Requirements

Education and Experience: 

  • Minimum High school diploma or equivalent required
  • Associate degree or higher is a plus
  • Three (3) years of progressively responsible and directly related work experience
  • Purchasing experience is a plus.
  • Working knowledge of Excel. Word, Sheets, Work Order systems, and/or other similar electronic software. 
  • Credentialed Asset Management Professional (CAMP) preferred

Essential Skills/Abilities: 

  • Better than average written and spoken communication skills.
  • Excellent organizational and time management skills.
  • Highly detail-oriented, organized, and able to handle multiple tasks simultaneously.  
  • Ability to maintain focus while working individually
  • Customer service background and understanding are a plus. 
  • Willingness to share and learn new ideas and processes with a progressive team. 

Additional Requirements

  • Must have a current and valid California driver’s license and the ability to provide proof of personal auto insurance on the vehicle driven during working hours.
  • The Clinical Centers are open Monday through Friday from 8 a.m. to 7 p.m., and Saturday from 8 a.m. to 6 p.m. Late afternoon and/or Saturday shifts may be assigned to support company goals for special projects on rare occasions.

 

Physical Requirements

The work environment is characteristic of both indoor and outdoor environments at both corporate office and healthcare facility settings . The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is frequently required to remain in a stationary position; use hands to handle or lift. The employee is also required to move and position themselves to reach with hands and arms. The employee must occasionally move, position and/or remove up to 70 pounds, and be able to position themselves to ascend/descend ladders and stairs to complete services while practicing all OSHA approved workplace guidelines. Specific vision abilities required by this job include close vision, distance vision, and the ability to adjust focus. The employee must also possess hearing and speech to communicate in person and over the phone. The noise level in the work environment is usually quiet to moderately loud; incumbent must be able to focus in an environment with many distractions.


The employee may be in contact with individuals and families in crisis who may be ill, using substances and/or not attentive to personal health and safety for themselves or their homes. The employee may experience a number of unpleasant sensory demands associated with the client’s use of alcohol and drugs, and the lack of personal care. The employee may also be exposed to bodily fluids (blood, urine) and hazardous chemicals. The employee must be ready to respond quickly and effectively to many types of situations, including crisis situations and potentially hostile situations.
