Hospice of the East Bay (HEB) is a community-based hospice and palliative care program providing services in the home and at our six-bed Hospice facility for terminally ill patients and those in need of palliative care.  Care is given to patients and families by an interdisciplinary group.  Bereavement care is provided to the family for a minimum of one year after the death.  Hospice and palliative care offer a sponsored care program to provide services regardless of patient’s ability to pay. Hospice East Bay has been certified as a "Great Place to Work" for the past 5 years in a row!

POSITION SUMMARY:

The Home Program Scheduler, reporting to the Clinical Manager, plays a critical role in ensuring the smooth day-to-day operations of the department by managing schedules, coordinating staffing needs, and providing excellent customer service. This role requires a high degree of organization, a strong sense of urgency, and the ability to solve problems quickly and effectively in a dynamic environment. 

ESSENTIAL FUNCTIONS:

  • Provide excellent customer service to patients, families, referral sources and staff
  • Work under the daily support of the Lead Scheduler. 
  • Assign patients to nurse schedules as needed. 
  • Collaborate on staffing challenges with IDT Managers for short-staffing situations and suggest solutions and replacement personnel contacted for resolutions.
  • Manage monthly staffing and availability for per-diem nurses.
  • Work with IDT Managers to flex as needed to reduce overtime.
  • Assist in the coordination of staffing for Continuous Care.
  • Process requests from MSWs for the Give Me a Break/Rossmoor Grant. Coordinate with Caregiving agencies to provide services, track care given, and process invoices.
  • Other duties as assigned 

 POSITION REQUIREMENTS: 

  • Excellent interpersonal and communication skills including ability to deal effectively with potential conflicts, demands and stressful situations
  • Natural problem solver who can analyze challenges and offer effective solutions
  • Strong sense of urgency with the ability to prioritize and respond quickly in high-pressure situations.
  • Working knowledge of medical terminology, HIPAA and Hospice practices
  • Requires being able to discern sensitive issues, respond appropriately and react quickly.
  • Proficiency in Excel
  • Must adhere to department goals, objectives, and performance standards. 
  • Able to remain sedentary at desk for 80% or more of the day.
  • Maintain confidentiality.

 EXPERIENCE AND EDUCATION: 

  • A minimum of 2 years progressively responsible administrative experience in a busy office or business environment required. 
  • Prior health care experience preferred. 
  • High school diploma required. AA degree preferred. 
  • Must be familiar with Office software applications (MS Word, Excel, and PowerPoint, Teams, Docusign, Microsoft Forms, and Adobe)
