Job Description

GENERAL DUTIES AND RESPONSIBILITIES Under general direction, to act as secretary to the principal and office manager: performs varied clerical work of complexity and difficulty; works independently and performs specialized work that requires a thorough knowledge of the policies, procedures, regulations and methods, which impact upon one's assigned duties; is expected to make decisions which do not depart from policy; will have a wide range of personal contacts with school and district staff, parents, students, the general public and others. Typically, the principal delegates responsible aspects of the program; performs general clerical work, statistical typing, word processing, proofreading, and filing; records and compiles information for reports or routine letters independently; receives, sorts and distributes mail; makes appointments; sets up meetings; makes computations, compiles data and maintains financial records and budgets; maintains employee records, modifies and devises forms for reporting data; performs related duties as assigned. EXPERIENCE: Experience performing varied clerical work of above average difficulty. Five years of increasingly varied secretarial experience, preferably in a school office; any combination of training and experience, which demonstrates an ability to perform the duties of the position. KNOWLEDGE OF: Modern office equipment and procedures; correct English usage, spelling, grammar, punctuation, basic math, telephone etiquette, report preparation, data input, and word processing. ABILITIES/SKILLS: Learns rapidly; sorts and file accurately; ability to operate various types of office machines, audiovisual equipment, and computers; receives and gives information over the telephone; performs calculations with accuracy; understands and carries out oral and written instructions; establishes and maintains effective relationships with persons contacted in the course of work; deals effectively with a wide variety of personalities and situations requiring diplomacy, poise and firmness; analyzes situations and adopt an effective course of action, with reason and logic; express initiative, adaptability, and confidentiality. Knowledge of Microsoft Office and telephone protocol. Computer literate with the ability to learn new software applications. Duties require professional verbal and written communication skills and the ability to type 60 wpm. Visibility of work requires attention to detail, excellent organizational skills, and discretion with confidential information. OTHER: May be required to possess a valid and appropriate California Driver’s License. Strength requirement: lifting and carrying and/or pushing 25 pounds maximum.
