The Legal Aid Society’s Civil Practice is seeking a Program Coordinator to join the HIV/AIDS Representation Project (HARP) and the Health Law Unit (HLU).

 

This position is allocated 60% to H/ARP and 40% to HLU. For the H/ARP portion, the Program Coordinator reports to the Supervising Attorney of HARP. The Program Coordinator will work with the Supervising Attorney of HARP and the Director of HLU, Office Managers and their team, case handlers, and the Civil Grants & Contracts Team to coordinate grant projects, establish efficient and timely systems for data collection, and ensure quality assurance of grants including reconciliation between the case management system and secondary reporting databases. The Program Coordinator will oversee off-site intake throughout New York City at various hospitals, health care centers, and community-based organizations that provide services to persons living with HIV/AIDS (PLWH/A) and is responsible for maintaining relationships with other stakeholders in the legal, court, and service communities

 

ESSENTIAL DUTIES/RESPONSIBILITIES

 

Program Coordination and Case Management

  • Oversee and ensure collection of data for grants/contracts
  • Work with the Office Management team ensure that all cases are entered within one week of intake
  • Periodically update the HARP and HLU team on any changes or updates in data collection required for HARP grants
  • Once registered, work with the case handlers to ensure that all cases are updated with data required for grants management including accurate service levels, completed forms, other information needed to establish eligibility and outcomes; and are timely marked as ready for closing in the case management system
  • Work with case handlers to upload all documents needed for programmatic audits in the case management system within one week of intake and before case closing
  • Responsible for all secondary database reporting as needed for contracts
  • Responsible for overall quality assurance in the case management system
  • Once casework is completed, coordinate with the Office Management team to ensure cases are timely closed and archived and that cases are closed out in any secondary reporting databases
  • Following-up with and/or interviewing clients to obtain information needed to properly enter and/or update cases, or assess additional service needs as needed
  • Coordinate the off-site intake schedules
  • Coordinate trainings for staff and volunteers
  • Develop community education materials and develop trainings for clients and other advocates
  • Coordinate the quarterly HARP Consumer Advisory Board meetings
  • Collaborate with HARP team on QI projects and implementation
  • Assist with program development, implementation, and reporting
  • Develop skills and comprehensive knowledge of the practice areas of the Society
  • Represent the Civil Practice and Legal Aid in the community
  • Other duties as assigned

QUALIFICATIONS

 

Required qualifications:

  • Bachelor’s degree or an equivalent combination of 4+ years of post-secondary education and/or work experience

 

Preferred qualifications:  

  • Bachelor’s degree 
  • Previous administrative experience  
  • Excellent organizational skills 
  • Excellent computer skills including Office 365 and all Microsoft Office programs, especially Microsoft Excel (pivot tables, etc.), and demonstrated ability to work with databases

Physical, environment, travel, and other duties required: 

  • Mostly sedentary, significant time using a computer and monitor; communicating and meeting using video.  
  • Requires occasional or frequent physical movement to perform essential job functions which may include, bending, reaching, pulling, pushing, standing or walking for long periods of time, accessing small spaces   
  • May or will require travel within NYC, across the five-borough region   

 

* For positions noted as essential, this will require either remote or in-person work during times of closure or otherwise non-typical business hours which may include evenings and weekends and during unforeseen events such as inclement weather or poor air quality conditions. 

 

SALARY AND BENEFITS 

The salary range represents a good faith estimate of the range we expect to pay for this role. The actual salary offered may vary depending on many factors, including but not limited to job-related knowledge, skills, and experience, as well as collectively bargained salary steps for unionized roles. 

  

Salary Range: $72,800 - $77,800
