Main Purpose of Job

The primary purpose of the Credit Control role is to manage customer credit effectively, minimize overdue debts, and ensure healthy cash flow by enforcing credit policies and securing timely payments. The role also focuses on maintaining positive customer relationships, resolving billing disputes, reducing financial risks, and supporting the company’s financial stability and growth.


Key Accountabilities

As part of the Credit Control team, the individual will be responsible for:

  • Achieving defined KPIs by proactively managing accounts, with focus on high-priority customers.
  • Preparing and sending Statements of Account (SOAs) to customers on a weekly/bi-weekly basis.
  • Managing high-priority customer accounts with significant outstanding balances or complex issues. Ensuring regular monitoring and timely follow-ups (emails & phone calls).
  • Addressing and resolving payment disputes or invoice discrepancies in collaboration with internal teams (Disbursement, Accounts Payable, Hub Operations).
  • Escalating unresolved accounts to the Credit Control Manager and Commercial Manager, including providing detailed overdue reports for potential legal action.
  • Building and maintaining strong customer relationships to encourage timely payments and long-term loyalty.
  • Ensuring compliance with organizational policies, ethics, and Service Level Agreements (SLAs).
  • Identifying process gaps and recommending improvements for greater efficiency and compliance.
  • Submitting 100% prefunding vessel lists to the Operations Manager after Commercial Manager approval.
  • Managing float accounts, including daily posting and adjustment of float payments.
  • Maintaining accurate records of communications for audit trails and follow-up purposes.
  • Monitoring unallocated cash for assigned accounts and ensuring timely allocation against respective invoices.


Key Deliverables

  • Maintaining overdue ratios below 30% and achieving 100% cash collection targets.
  • Reducing overdue debts and minimizing bad debt write-offs while ensuring strong cash flow.
  • Preserving professional customer relationships to encourage timely payments and safeguard long-term business interests.
  • Addressing customer concerns related to billing/payment terms to avoid delays.
  • Ensuring accurate recording of float balances and timely posting of adjustment entries.
  • Supporting the Supervisor and Assistant Manager (AM) Credit Control with ad-hoc tasks as required.


Knowledge & Skills

Essential

  • Proficiency in Microsoft Office, particularly Excel (Pivot Tables, VLOOKUP, etc.) and Outlook.
  • Strong understanding of accounting principles and practices.
  • 3–5 years’ experience in Accounts Receivable / Credit Control.
  • Excellent communication, interpersonal, and negotiation skills.
  • Ability to work collaboratively with cross-functional teams.
  • High attention to detail and accuracy.
  • Strong customer service orientation.
  • Experience in handling critical/priority customer accounts.


Desirable

  • Basic knowledge of shipping and maritime industry terminologies (e.g., Port Agency work).
  • Experience in a multinational or fast-paced environment.
  • Prior experience with a shipping agency.


Qualifications

Essential

  • Bachelor’s/Master’s degree in Accounting, Finance, or a related field.
