SUMMARY: The Front Desk Supervisor is responsible for overseeing front desk operations, ensuring effective communication, and delivering exceptional service to visitors, residents, and staff. This role requires multitasking, collaboration with various departments, and maintaining a professional and organized environment.

This role is vital in ensuring a welcoming and efficient front desk operation while supporting the overall functionality of the organization
- Ability to read and comprehend instructions, short correspondence, memos, procedure manuals, safety rules, and operating and maintenance instructions.
- Ability to complete routine reports and correspondence.
- Ability to effectively present information in one-on-one and small group situations to residents, staff, families, and vendors.
- Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
- Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
- Ability to deal with problems involving several variables in standardized situations.

Minimum Qualifications:
- Four-year degree with emphasis on social work or geriatrics is preferred but not required, along with computer skills.
- High school diploma or general education degree (GED).
- Knowledge of medical terminology preferred.
- Strong communication and interpersonal skills.
- Ability to multitask and prioritize tasks effectively.
- Proficiency in using office equipment and computer systems.
- Attention to detail and organizational skills.
- Experience in training and onboarding staff is a plus.
- Familiarity with the Accushield System is preferred.
Job Responsibilities:
- Operate the front desk telephone console to manage calls promptly and courteously.
- Monitor and update voice recordings for department phones to provide accurate information.
- Assist the HR Department with daily interviews.
- Support Learning & Development with first-day orientation sessions (bi-weekly).
- Address visitor and resident inquiries with appropriate information.
- Train receptionists and security personnel on front desk duties, including the Accushield System.
- Process mail and medication notifications, notifying relevant personnel of residents' orders.
- Perform administrative tasks such as photocopying, computer work, and mailings as requested.
- Process donations and work orders as needed.
- Post weekend coverage schedules for MOD, supervision, and front desk (weekly).
- Monitor doors and video surveillance systems daily for proper functionality.
- Update leadership board and NH Safety Binder with new census information as needed.
- Maintain and monitor various binders (Package Binder, NH Wander Guard Binder, DH Wander Guard Binder, End of Shift Binder) daily.
- Assist Willow Oaks Receptionist with reception-related concerns.
- Ensure the lobby is clean and file cabinets are stocked with updated documents.
- Assist residents returning from appointments daily.
- Order and maintain front desk supplies weekly and notify the team of required items.
- Serve as the Accushield Admin Level Maintainer:
- Train team members and security personnel.
- Manage alerts, events, and vendor/visitor sign-ins.
- Notify and train the team on system updates.
- Update welcome messages and ensure system functionality.
- Perform other duties as assigned by management.
Physical Requirements:
- Ability to sit, stand, and move around the front desk area for extended periods.
- Capability to lift and carry up to 20 pounds of light packages or supplies as needed.
Supervisory Responsibilities:
- Front desk staff for the campus (Nursing Home and Willow Oaks).
