Description
The administrative assistant works independently, and also as a team with the other staff members to coordinate daily administrative duties. This key position is responsible for general administrative tasks, diversified office duties, departmental projects, and coordination of sensitive information.
1. Responsible to the dissemination and coordination of sensitive information in a professional, discrete, and confidential manner. Routinely handles confidential material and ensures disclosure is restricted to approved personnel.
2. Coordinates daily administrative operations including:
3. Process budget requests and reimbursements;
4. Prioritizing tasks to meet set deadlines;
5. Distribution of mail, agenda preparation, phone coordination and meeting minutes;
6. Database preparation updates, and routine maintenance of files and records;
7. Coordinates events as assigned, e.g., meetings and related activities.
8. Provides word processing support for a wide range of materials including legal documents, letters, reports, memos, brochures and forms.
9. Assists in the care and maintenance of departmental equipment, and manages availability of supplies.
10. Coordinates and organizes multiple projects and prepares presentations as requested.
11. Provides back-up support for co-team members.
12. Assists with scheduling candidates for open nursing positions, and screening/interviewing STNA candidates
Requirements
- Associate degree or equivalent education/experience
- Excellent verbal and written communication skills.
- Computer proficiencies including windows based applications. Candidates need to be able to comfortably and efficiently use Excel and Word on a daily basis
- Minimum of three years administrative assistant experience
- Must be able to adapt to shifting responsibilities as needs arise
- Must be a strong team player requiring minimal supervision
- Possess the ability to work in a fast paced environment with a high degree of attention to detail and accuracy
