The Role:
Our Office and Facilities Manager will be responsible for overseeing the daily operations of the office and facility, ensuring the workspace is safe, organised, and efficiently managed. This role involves coordinating office logistics, including a potential move, being the main stakeholder for our office building, ensuring facilities are maintained, and supporting administrative functions to promote a productive and comfortable work environment.
Responsibilities :
Serve as the main liaison for our office building—overseeing relationships, security, stock management, and operational readiness.
Plan and optimize office layout and seating to drive efficiency and collaboration.
Manage routine preventive and reactive maintenance (PPM/RPM), vendor coordination, repairs, and upgrades.
Ensure high standards of cleanliness and organization across all facilities.
Handle procurement, stock control, contract negotiations, and manage office-related budget tracking.
Support office moves and reconfiguration as needed.
Collaborate with IT on office equipment setup and management.
Provide remote support as part of the company-wide Office Management team.
Address colleague queries regarding access, equipment, and DSE or health-and-safety concerns.
Organize seasonal events like Summer and Christmas parties.
Conduct routine walk through and meeting room checks, ensuring compliance with workspace policies and cleanliness standards.
Manage internal communications through tools like Polly.
Assist with on boarding, health & safety inductions, and training for Line Managers.
Coordinate site-specific H&S procedures—risk assessments, emergency procedures, flu jabs, eyecare, etc.
Facilitate seamless visitor journeys through advance bookings.
Support the Group Office & Facilities Manager with special projects and initiatives.
Key Attributes for Success:
Proven experience in office management and facilities coordination.
- People management experience
Strong organisation, attention to detail, and problem-solving abilities.
Proficiency in vendor management and contract negotiation.
Solid understanding of health, safety, and workplace compliance.
Excellent communication and stakeholder relationship skills.
Comfortable multitasking and adapting to a dynamic environment.
Qualifications like NEBOSH, IOSH, or equivalent are a plus, but practical experience matters most.
